We are looking for a meticulous and proactive Office Operations Coordinator to oversee our office functions, vendor partnerships, budget management, and community involvement in Colombia. The selected candidate will act as a vital link between our global management, local personnel, and service providers, ensuring efficient operations and a conducive work atmosphere.

Key Responsibilities:

Office Oversight:

  • Establish and uphold office protocols concerning visitor interactions, conduct, and workspace utilization, ensuring adherence to company policies.
  • Coordinate maintenance and repairs with the building's service team.
  • Ensure a welcoming, tidy, and secure office setting.
  • Implement enhancements to improve office functionality and space utilization.

Vendor Coordination:

  • Maintain and update a directory of vendors and service providers, acting as the primary contact for the area.
  • Investigate and onboard new vendors to improve employee experiences and operational efficiency.
  • Work alongside HR to manage benefits for employees.

Financial Oversight:

  • Oversee the office budget, including approving expenses and monitoring spending against budget limits.
  • Keep accurate records of all authorized expenditures.

Event Coordination:

  • Plan and execute local and virtual community events, managing all aspects including planning, communication, scheduling, budgeting, and logistics.
  • Monitor attendance and collect feedback to evaluate event success.

Communication Facilitation:

  • Serve as the main communication link between the office, employees, local vendors, and global management.
  • Represent the region in community gatherings and global meetings.
  • Disseminate safety and continuity strategies during local emergencies.

Employee Engagement and Assistance:

  • Maintain up-to-date records of employees in the region and collaborate with HR on necessary updates.
  • Keep employees informed and engaged with company news and events.
  • Provide assistance to employees, addressing questions and concerns.
  • Support the onboarding of new hires and help them integrate into the community.
  • Manage the regional communication platform, ensuring timely and positive interactions.

Content Development:

  • Generate content from community events and daily activities to share with the marketing team for promotional use.

Regulatory Compliance and Administration:

  • Identify local legal resources and ensure adherence to local laws and regulations.
  • Assist in fulfilling country registration requirements and renewing necessary licenses and permits.

Partnership Development:

  • Engage with key stakeholders in legal firms, educational institutions, and associations.
  • Lead discussions and finalize partnership agreements.
  • Sustain relationships with partners, offering recommendations for partnership growth.

Qualifications:

  • Exceptional organizational, communication, and leadership abilities.
  • Capability to manage diverse responsibilities and stakeholders.
  • Experience in office administration, vendor management, and financial oversight.
  • Proficiency in event organization and community outreach.

System and Workspace Requirements:

  • A reliable and high-speed internet connection, ideally 25 MBPS or higher, with a backup option for power outages or service interruptions.
  • Access to a laptop or desktop (8GB RAM, Core i5 or higher) with a minimum of 10 Mbps internet.
  • Noise-canceling headset/earphones and a webcam.
  • A designated, quiet, and well-organized workspace free from distractions to support focused work.
