Position: Executive Administrative Assistant

Company: Somewhere

Working Hours: Monday to Friday, 9-5PM EST

Work Setup: Remote

Salary Range: USD

Duties and Responsibilities:

Email and Schedule Management:

  • Oversee and organize the email accounts and calendars of the Executive Team.
  • Arrange meetings and appointments with both internal and external parties.
  • Coordinate and track meetings with service providers and legal entities, including law firms and consultancies.

Team Onboarding and Offboarding:

  • Facilitate the onboarding process by sending communications and organizing introductory meetings for new hires.
  • Ensure access to essential technology applications for incoming and outgoing employees.

Client Onboarding:

  • Establish and manage accounts for subscribing organizations.
  • Assist with Single Sign-On (SSO) implementation and support customer onboarding, including profile setup and training session scheduling.
  • Address general inquiries from subscribing organizations and clients.

Newsletter Administration:

  • Manage subscriptions and unsubscriptions in Mailchimp and/or Hubspot as required.

Financial Management:

  • Process and pay invoices, and prepare expense reports for the Executive Team.

Contract Oversight:

  • Maintain and organize the company’s contract repository, ensuring all documents are current and easily retrievable.

Requirements:

  • A minimum of 2 years of demonstrated experience as an Executive Assistant, Administrative Assistant, or in a comparable role.
  • Exceptional written and verbal communication skills.
  • Proficiency in MS365 applications (Word, Excel, Outlook).
  • Capability to learn new skills and adapt to unfamiliar software tools (e.g., Hubspot, Strapi, EventCreate).
  • Strong organizational abilities with the capacity to manage multiple projects concurrently.
  • Ability to work autonomously, meet deadlines, and adjust to shifting priorities.
  • Collaborative attitude, with the ability to work effectively within a diverse team.
  • Meticulous attention to detail and strong problem-solving skills.
