About the Role:
This position will be responsible for planning, organizing and helping the Chief Strategy Officer and other executives at Power Digital be accountable to staying on top of all things that come up on a day to day basis. Duties may include, managing email, calendar, salesforce, planning travel, attending meetings to scribe actions, setting meetings, completing reports and presentations, greeting and hosting visitors, and some general bookkeeping tasks.
Power Digital is looking for a Full Time Executive Assistant to join our Team. This role will assist the Chief Strategy Officer and executive team with all projects and tasks that arise. You must have a go-getter attitude, be scrappy, driven, self-starter, and eager to learn quickly while also challenging yourself on a daily basis. This role also requires you to be in Medellín, Colombia.
Responsibilities:
- Email, project, calendar and task management
- Helps prepare for meetings.
- Records notes and action items from meetings.
- Makes travel arrangements for executives.
- Performs office duties that include ordering supplies, snacks, lunches, etc.
- Provide general administrative support.
- Performs other related duties as assigned by management.
- Email management and prioritization for executive team
- Work with all departments to coordinate and maintain executive support
- Ensure any and all deadlines are communicated properly, and not missed.
- Create agendas, presentations, schedules, and other documents as needed
- Support in presentation decks such as: Kick Off Meetings, Recognition, Trainings, Board Decks and Monthly Operating Reviews
- Flexibility to problem solve scenarios and anticipate pivots
- Completion of accurate, high-quality work within an urgent environment
- Provide assistant in office management
- Other applicable duties, as assigned to keep Executive team focused on most high value work
Response Rate & Follow through
- KPI: Successful priority system where all urgent requests are sorted and handled timely
Overall proactivity and preparedness in approaching day-to-day business & executive needs.
- KPI: Agenda or calendar planners prepared for all meetings and as needed.
- KPI: Assuring all agendas on meetings are set and detailed to maximize time
Gate Keeping
- KPI: Achieve ideal “work blocks” and best structure daily schedule
Accountability:
- KPI: Ensuring that leadership and management meetings net clear action items with deadlines and that you hold team members accountable to that deadline and keep them on track
Requirements:
- Excellent organizational skills
- Ability to organize a daily workload by priorities.
- Must be able to meet deadlines in a fast-paced, quickly changing environment.
- A proactive approach to problem-solving with strong decision-making skills.
- Professional level verbal and written communications skills.
