The Facilities Operations Specialist will oversee site management in alignment with established policies, procedures, and contractual obligations, while also assisting with vendor oversight for maintenance services, including janitorial, mechanical, electrical, plumbing, carpentry, critical systems, HVAC, and other services pertinent to the assigned sites.

Key Responsibilities:

  • Assist the sourcing subject matter expert and area/site managers during the vendor contract procurement process.
  • Ensure adherence to all health and safety, environmental, and risk management policies in collaboration with the area/site manager.
  • Coordinate with various internal teams, which may include fitness, food services, security, and capital projects.
  • Support the area and site manager in executing both short-term and long-term initiatives for the client.
  • Facilitate site operations, which may encompass moves/reconfigurations, events, safety protocols, reception, and mail services.
  • Maintain accurate records and official documentation for the site, including web pages that support JLL and/or operations.
  • Develop and propose emergency response strategies, including evacuation plans and after-hours emergency protocols.
  • Collaborate with the Safety Team on government permits, such as civil protection.
  • Serve as the liaison between the landlord, users, and Facility Manager.
  • Manage client relationships proactively, ensuring service levels are met and compliance with client contract requirements.
  • Assist in achieving financial targets and key performance indicators, including participation in annual budgeting and quarterly forecasting.
  • Lead, manage, and develop a professional team focused on delivering exceptional service.

Qualifications:

  • Minimum of 2 years of experience in facilities management, property management, hospitality, or related fields.
  • Proficient in English communication, both written and verbal.
  • Familiarity with local critical facilities and vendor management for specialized services.
  • Basic understanding of technical aspects of property management, including HVAC and fire protection systems.
  • Willingness to learn various information technology tools and platforms.
  • Strong communication, organizational, and problem-solving abilities.
  • Capacity to work independently with minimal supervision and effectively manage stressful situations.
  • Self-motivated, confident, energetic, and adaptable.
