Overview

Kennedys is seeking an Office Support Specialist to enhance the efficiency of our Business Services team.

The Office Support Specialist will work closely with the local Office Manager and contribute to the Bogota Business Services Team, primarily assisting the LATAM Practice Group. This role involves fostering professional relationships with attorneys, administrative staff, service providers, and external vendors.

Team Structure

Our Colombia office, established in 2016, is under the leadership of Partner Monica Tocarruncho Mantilla. The team specializes in insurance and reinsurance, focusing on corporate matters, regulatory guidance, contracts, and dispute resolution.

Key Responsibilities

  • Assist the Partner with various administrative duties, including managing schedules, arranging travel, taking meeting minutes, and supporting regional projects.
  • Provide administrative support by drafting and editing correspondence, preparing memos, and managing communications on behalf of the firm.
  • Oversee the Partner's calendar, ensuring appointments are made and prioritizing urgent matters.
  • Manage the scheduling of conference and meeting room resources.
  • Coordinate meetings, including logistics, reminders, and catering arrangements as needed.
  • Handle office management tasks, including supply procurement.
  • Develop and maintain positive relationships with both internal and external stakeholders, representing the firm professionally.
  • Organize and maintain confidential files, records, and databases.
  • Assist with printing, mailing, copying, and filing for the executive team.
  • Order and manage office supplies to ensure smooth operations.
  • Exhibit leadership qualities to maintain trust, confidentiality, and support among senior management.
  • Perform additional duties as assigned by management.
  • Plan and execute various events, including trade shows, product launches, seminars, and customer engagement initiatives.
  • Collaborate with the Office Manager to facilitate the onboarding of new employees and assist with HR tasks as needed.
  • Support the Office Manager in maintaining a professional front-of-house environment, ensuring high standards of presentation and coordinating meeting room setups.
  • Provide legal administrative support, including preparing and formatting reports, organizing information, and maintaining accurate records.

Required Qualifications

  • Proficiency in both Spanish and English is essential.
  • Strong IT skills and a high level of computer literacy.
  • Excellent communication abilities.
  • Exceptional organizational skills are a must.
  • Ability to work independently and take initiative.
  • Flexibility and adaptability to manage change effectively.
