We are looking for an Equipment Coordinator to join SuperStaff. This person will responsible for processing equipment orders placed by Equipment Sales force; coordinating, staging, and delivery of equipment orders; acting as a liaison between equipment specialist, service managers, manufacturers, and distribution centers regarding equipment orders; receiving and responding to internal and external customer inquiries; resolving equipment related issues/problems; working with regions to maintain regional inventory; processing vendor claims.

Responsabilites.
- Processes quotes and orders upon receipt of completed paperwork (i.e. Deposits, financing docs, signed quote, signed sales agreement, customer PO if necessary) and makes a customer file for the purchase.
- Carefully proofreads purchase orders and billings for errors.
- Checks gross profit on equipment orders by ensuring that the correct vendor cost is recorded on the sales order and understands commission structure and maintenance screen. Ensures that proper approval is obtained for low GP orders.
- Act as Client liaison for local manufacturer representatives to assist ES with credits and special deals.
- Works with financing partners to provide them with all necessary documentation for financing.
- Updates financing partners on a regular basis and responds to questions in a timely fashion.
- Is educated and stays informed on equipment and manufacturer promotions. Ensures that PO’s are cut in order to meet pricing/promo deadlines.
- Coordinates all ship dates with specific install dates. Updates PO’s and Basecamp with ship dates.
- Receives equipment against packing slips for showroom and 3PL deliveries. Notifies region if equipment is not available for scheduled installation.
- Processes billing of equipment orders in a timely manner for 3PL deliveries and showroom transactions.
- Efficiently communicates with equipment specialists, installation team, regional service managers, and regional managers. Participates in weekly meetings to review status of current jobs, providing an Eq conference call spread sheet of orders.
- EC is responsible for processing equipment returns, issuing customer credit, and arranging credit from vendor in a timely manner. Must follow up on open warranty tags and vendor claims.
- Utilizing Qliksense/CRM to maintain most accurate install date possible.
- Stays within guidelines of equipment logistics process. Ensures that all equipment is shipped to the client's distribution center before utilizing other options such as a showroom or 3PL. All shipments to a showroom are pre-approved by management.
- Maintains Basecamp database. Basecamp projects are created for all equipment orders and all projects are up to date with current and accurate information.
- Effectively assists Equipment Handler in assuring that the upkeep of inventory in Warehouse Distribution Centers is current.
- Works with Region to control and maintain regional inventory.
- Effectively schedules, supplies reports and helps locate eq for regional showroom inventory while Service manager completes all physical aspects of the role.
- Monitors all daily and weekly reports and promptly takes corrective action on all discrepancies.
