We are seeking a highly organized and proactive
Sales Admin Assistant
to support sales operations, content management, and personal administrative tasks. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities efficiently.
Key Responsibilities
Sales & CRM Management
- Conduct
15-minute daily morning sync meetings
(EST). - Administer CRM system and ensure accurate data entry.
- Prepare and send
End-of-Day (EOD) reports
summarizing tasks and progress. - Maintain spreadsheets for tracking all sales metrics and performance numbers.
- Reschedule appointments and manage inbox for timely responses.
- Organize and color-code calendar for optimal scheduling.
- Confirm all calls, perform
2–3 minute triage
, and provide personalized pre-call notes to elevate client experience. - Assist with follow-up tasks based on SOPs.
- Roll out workflows and ensure smooth execution.
- Send
weekly targets and performance reports
, including actionable insights on outbound calls, deals per day, and monthly goals. - Respond to prospect messages promptly and professionally.
Content Management
- Schedule and post content across Instagram and other platforms.
- Review editor submissions using SOPs, handle revisions, and communicate feedback via voice messages.
Personal & Administrative Support
- Maintain recurring Sunday systems for personal organization.
- Process payments for editors and send business invoices via Wise.
- Handle online purchases and log transactions into Wise.
- Order weekly groceries via Rappi and manage related expenses.
- Coordinate with service providers (barber, massage therapist, maid, Airbnb hosts, etc.).
- Manage calendar and email correspondence for personal matters.
- Build SOPs for recurring tasks.
- Track all income in spreadsheets and reconcile with Wise.
- Research Airbnb options, book padel sessions, and organize events.
- Pay bills and ensure timely financial management.
Qualifications
- Proven experience as an Administrative Assistant or similar role.
- Strong organizational and time-management skills.
- Proficiency in CRM systems, spreadsheets, and workflow tools.
- Excellent communication skills (written and verbal).
- Ability to work independently and handle confidential information.
- Familiarity with social media platforms and basic content scheduling.
Preferred Skills
- Experience in sales operations and reporting.
- Knowledge of SOP creation and process optimization.
- Comfortable managing both business and personal tasks.
