Sales Administrative Assistant

We're looking for a proactive, sales-oriented Virtual Assistant to work directly with the CEO. This is not just calendar + inbox. The VA will support sales outreach, HubSpot upkeep, buyer-intent follow-up, meeting participation, and light SDR coordination. You'll be the person who makes sure opportunities don't fall through the cracks.
What You'll Do
•
Sales Admin & Outreach
- Draft and send follow-ups to leads/prospects
- Support top-of-funnel / SDR-style work (e.g. contacting website leads, chasing buyer-intent signals)
- Keep the CEO's sales pipeline clean and moving

HubSpot Management
- Update contacts, companies, deals, and activities in HubSpot
- Log meeting notes, next steps, and tasks after calls
- Maintain data hygiene so reporting is accurate

Meeting Support
- Join sales/ops meetings with the CEO
- Take structured notes, capture action items, and send recaps
- Prepare simple proposals or follow-up documents after calls

Admin for the CEO
- Email and calendar management
- Coordinate with other team members (MRH, SDRs, recruiters)
- Help organize recruiting/info for future SDR hires
Must-Haves
- Based in Latin America with excellent English (spoken and written) and strong cultural alignment with U.S. clients
- Available to work U.S. Eastern Time (EST) hours
- Experience with HubSpot (or another CRM, but HubSpot is preferred)
- Experience supporting sales leaders / founders / CEOs
- Strong written communication — you'll be writing client-facing messages
- Highly organized, proactive, and comfortable being the CEO's "right hand"
Nice-to-Haves
- Background in B2B services, staffing, investigations, insurance, or professional services
- Experience doing buyer intent research or working from lead lists
- Experience preparing light proposals / client decks
- Familiarity with secure password sharing tools (LastPass, etc.)
