Job Summary

We are seeking a highly skilled HR Operations Specialist to join our team at Onesubsea. The successful candidate will be responsible for ensuring the smooth operation of HR transactions, maintaining data quality and integrity, and ensuring compliance with company procedures and policies.

Key Responsibilities
  • HR Transaction Management: Administer HR transactions using established procedures and guidelines, ensuring timely and accurate delivery of services.
  • Data Quality and Integrity: Perform data quality checks and ensure the accuracy and integrity of HR data in our systems of record.
  • Compliance and Governance: Ensure all activities are performed in strict compliance with Onesubsea procedures, employment rules, manuals, policies, and country legislation.
  • Employee Query Services: Provide timely delivery of employee query services for in-scope geography, ensuring all queries are resolved within established KPIs.
  • Master Data Management: Perform master data actions and other associated transactions, such as hiring, promotion, transfer, suspension, termination, payments, deductions, creation of vacation travel allowance, etc.
  • Payroll Coordination: Coordinate with Payroll Analysts to ensure employees' data impacting payroll is efficiently and accurately captured and maintained in payroll systems within established deadlines.
  • Salary and Bonus Adjustments: Perform manual salary, bonus, and time data adjustments updates on time with appropriate approvals when required.
  • SAP Compliance: Act as a gatekeeper to ensure that SAP actions, transactions, exemptions, and other documentation comply with internal procedures and policies regarding master data updates to the system before processing.
  • Employee Query Resolution: Maintain and close employee queries or requests pertaining to HR transactions and master data within established KPIs.
  • Documentation and Record-Keeping: E-file proper documentation for required actions in accordance with prescribed rules to ensure that it is available for audit reference.
  • Data Quality Checks: Perform buddy and data quality checks regularly to maintain data quality and integrity in the HR master database.
  • Incident Escalation: Follow the escalation matrix for potential incidents and report HR service quality events in QUEST-HR.
  • Employment Documents: Generate employment documents when applicable accurately and on time.
  • Continuous Improvement: Identify and participate in continuous improvement initiatives.
  • Audit Support: Support and assist in audits of the HR master database. Coordinate with relevant parties to resolve existing discrepancies and prevent potential new ones.
  • Service Delivery Meetings: Participate and contribute in service delivery meetings.
  • Research and Analysis: Conduct research, analyze data, provide ad-hoc reports, and present feedback on assigned projects when required.
  • User Acceptance Testing: Perform user acceptance testing as per agreed timelines.
  • Customer Engagement: Participate in customer engagement events when required.
  • Subject Matter Expertise: Serve as a champion for specific activities or subject matter expert on selected topics.
  • Checklist and SWI Documentation: Frequently review and update checklist and SWI documentation and follow up for sign-off.
  • Knowledge Sharing: Document best practices and share lessons learned with stakeholders.
  • Ad-Hoc Knowledge Sharing: Deliver ad-hoc knowledge sharing sessions to HR Hub employees and location HR when required.
  • Customer Experience: Ensure delivery of services with positive customer experience.
  • Service Delivery and Quality Meetings: Participate in/contribute to Service Delivery and Service Quality Meetings.
  • Research and Analysis: Conduct research, analyze data, provide ad-hoc reports, and present feedback on assigned projects when required.
  • HR Open Houses: Participate in HR open houses.
  • Campaigns and Initiatives: Participate in the implementation/roll-out of any new campaigns, initiatives, policies, etc. as part of global or local strategy.
  • Champion and SME: Proactively serve as a champion for specific activities or projects or Subject Matter Expert (SME) on selected topics.
  • Knowledge Base and SWI: Frequently review and update the Knowledge Base, Standard Work Instructions (SWI), internal procedures, and guidelines.
  • FAQ Documentation: Create FAQ documentation when required, document best practices in the knowledge base, and share lessons learned with stakeholders.
  • Training Plans and Checklists: Maintain GeoUnit/country-specific training plans and checklists at hub level by periodically checking for relevance.
  • Training Material and Delivery: Prepare the training material and deliver ad-hoc knowledge sharing sessions/trainings to Hub employees and Location HR when required.
  • Training Gaps and Escalation: Identify training gaps impacting service quality based on the analysis of KPI, daily activities, and evaluation of the effectiveness of the current service levels and escalate to manager for appropriate action.
Minimum Requirements

Education: Bachelor's degree in Business Administration or Industrial Engineering.

Experience: 0-2 years of experience.

Interest: Interest in a career in HR, Payroll.

Skills: Basic to Intermediate Excel capabilities.
