About the Role:

Voyage Real Estate, a leading luxury real estate firm based in Los Angeles, is seeking a highly organized and detail-oriented Administrative Assistant to support the operational and client service aspects of our business.

Key Responsibilities:

  • Documentation Management: Ensure accurate and timely completion of buyer agreement documentation, coordinate signatures and approvals, and maintain organized records.
  • Listing Administration: Coordinate property listings, verify accuracy, and track listing performance.
  • Client Reporting and Updates: Prepare and send client updates, compile detailed reports, and maintain regular communication.
  • Client Appreciation Coordination: Manage client appreciation initiatives, coordinate with agents for special events, and track client engagement.
  • General Administrative Support: Assist with calendar and schedule management, handle communications, maintain office documentation, and assist with special projects.

Qualifications:

  • Administrative Experience: Proven experience in an administrative role, preferably in the real estate and luxury sectors.
  • Organizational Skills: Exceptional organizational skills, able to manage multiple priorities, keep track of important deadlines, and maintain detailed records.
  • Communication Skills: Strong communication skills, excellent written and verbal communication skills to interact professionally with clients, agents, and external partners.
  • Attention to Detail: A meticulous approach to ensuring accuracy in documentation, reporting, and client communications.
  • Software Proficiency: Proficiency in Google docs, Monday, and familiarity with CRM platforms and real estate listing tools.
  • Independence: Ability to work independently, self-motivated with the ability to manage tasks in a remote work setting while staying aligned with team goals.
  • Client-Focused Mindset: A proactive and personable approach to customer service, ensuring that all client interactions are positive and solution-oriented.
