**Position Summary**:

The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures and vendor control. The Office Manager will also provide high quality administrative and clerical assistance to our senior management.
**Work Model**:
Flex: This role will typically require onsite work 2-3 days each week, or more depending on business needs. In many locations, the business will set certain days each week that Flex employees are required to be onsite.
**Responsibilities**:
- Organize office operations and procedures and coordinate with IT department on all office equipment & systems ensuring office efficiency is maintained.
- Manage relationships with vendors, service providers and landlord, including contract management, set purchase orders and ensuring that all items are invoiced and paid on time
- Partner with HR and IT for administrative processes for new hirings
- Monitor and maintain office supplies inventory by reviewing and approving supplies acquisitions
- Partner with HR, Legal, Finance and Facilities to develop and implement policies by setting up procedures and standards to guide the operation of the office
- Ensure security, integrity and confidentiality of data and maintain a safe and secure working environment
- Administrative support in projects assigned by GM
- Manage GM schedules, appointments, travel arrangements and expenses reports. Also coordinate meetings with internal and external participants, addressing all necessary details for efficient and successful outcomes
- Participate actively in the planning and execution of company events by supporting the team in searching and securing venues, planning and managing events' calendar, negotiating quotes and agreements with vendors, assisting with event organization, monitoring timeframes and budgets, and filing event related documents in Sharepoint
**Requirements**:
This position requires an extremely organized individual who exercises a high level of professionalism and confidentiality in working with members of the management team as well as with all employees and customers
- Bachelor's degree
- Fluent in English, native Spanish
- Experience in a Pharmaceutical or bio-tech company preferred.
- Successful Experience in coordinating internal and external meetings and events and experience providing support to General Manager
- Ability to work closely and collaboratively with other members of the department and interact with various internal and external stakeholders
- Hands-on mindset with strong organizational and planning skills in a fast-paced environment.
- Results oriented with demonstrated sense of urgency.
- Attention to detail and problem solving skills
- Excellent time management skills and ability to multi-task and prioritize work
