Key Responsibilities:
**Process Sales Orders (Customer Support)**: Efficiently process sales orders and provide excellent customer support throughout the order fulfillment process. Address customer inquiries, resolve issues, and ensure timely delivery of products/services.

**Maintain the Customer Database**:Update and maintain the customer database with accurate and up-to-date information. Ensure data integrity and confidentiality of customer records.

**Support the Sales Team**:Assist the sales team with various tasks, including preparing sales documents, creating presentations, and managing client communications. Collaborate closely with the sales team to meet sales targets and objectives.

**Collaborate with the Finance Department for Payments**:Coordinate with the finance department to ensure timely processing of customer payments and resolve any payment-related issues. Maintain accurate records of payments received and outstanding balances.

**Attend Internal Sales Meetings**:Participate in internal sales meetings to stay updated on product offerings, promotions, and sales strategies. Provide feedback and insights to support continuous improvement in sales processes and customer service.

**Calendar Management**:Effectively manage and maintain calendars for multiple team members, including scheduling appointments, meetings, and events.

**Scheduling & Confirming Meetings**:Coordinate and schedule meetings, ensuring availability of participants, booking conference rooms, and sending out meeting invitations. Confirm meetings in advance to ensure attendance.

**Creating & Managing Reports**:Compile and generate reports as needed, utilizing data from various sources. Ensure accuracy and completeness of reports.

**Requirements**:
**Qualifications**:

- Proven experience as an administrative assistant or similar role preferably in customer service or sales support.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent communication skills, both verbal and written (C1/C2 English Level)
- Customer-focused mindset with a passion for delivering exceptional service.
- Attention to detail and accuracy in all work tasks.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Adaptability and willingness to learn new skills and tools as needed.
- Strong problem-solving skills and ability to work independently as well as part of a team.
- Proficiency with different tools and cloud-based platforms such as MS Office, Hubspot, Zoom, Google Suite, and common CRM and Dialer systems.

**System and Work Setup Requirements**:

- A stable and high-speed internet connection preferably 25 MBPS or higher with backup in cases of power interruption or service provider issues
- Own PC/laptop with 8GB RAM, and a processor of Core i3 / AMD Ryzen 3 / 2013 Mac equivalent or higher; Windows 10 or above / Catalina 10.15 or newer; with up-to-date web browsers, and security software, 500GB/128 SSD storage
- Headset/earphone with noise cancellation and webcam at 720p or higher resolution
- A designated, quiet, and well-organized workspace free from distractions to facilitate focused work
