Position Overview:

The Facilities Support role is crucial in ensuring that our sites operate smoothly and efficiently. This position involves managing the site in accordance with established policies and procedures while assisting with vendor oversight for various maintenance services, including janitorial, mechanical, electrical, plumbing, carpentry, HVAC, and other critical systems.

Key Responsibilities:

  • Assist the sourcing subject matter expert and area/site managers during the vendor contract procurement process.
  • Ensure adherence to health and safety regulations, environmental policies, and risk management procedures in collaboration with the area/site manager.
  • Coordinate with internal teams, which may include fitness, food services, security, and capital projects.
  • Support the implementation of both short-term and long-term projects for clients.
  • Engage in various site operations activities, including moves, reconfigurations, events, safety protocols, reception, and mail services.
  • Maintain accurate records and documentation for the site, including web pages related to operations.
  • Develop and propose emergency response plans, including evacuation procedures and after-hours emergency protocols.
  • Assist the Safety Team with compliance regarding government permits.
  • Act as the liaison between landlords, users, and the Facility Manager.
  • Manage client relationships proactively, ensuring service levels are met and exceeded.
  • Support financial management efforts, including budgeting, forecasting, and vendor payment processes.
  • Lead and develop a dynamic team, fostering an environment of teamwork and performance excellence.

Qualifications:

  • Minimum of 2 years of experience in facilities management, property management, hospitality, or related fields.
  • Intermediate to advanced proficiency in English communication.
  • Familiarity with local critical facilities and vendor management.
  • Basic understanding of technical aspects related to property management is preferred.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to work independently and handle stressful situations effectively.
  • Self-motivated, confident, and adaptable.
