Virtual Part-time Billing Specialist

**FLSA**:Part Time | Hourly | Non-Exempt

**Compensation/Benefits: Up to $10 per hour USD + Flexible Schedule + Great Culture + Internet Stipend**

**Responsibilities**:
**Always: Make all prospects & clients feel awesome**
- Coordinate with attorneys, staff and clients to generate, distribute legal bills through various billing formats, including a paperless pre-bill software system.
- Facilitate resolution of e-billing issues.
- Prepare reports and materials necessary to track billings.
- Maintain master client files in the CRM.
- Monitor the payment status and Accounts Receivable cycle of submitted invoices
- Keeping track of all transactions coming in and out of the firm. Specifically this means, when a client pays for a service, we much be able to show:

- A signed contract
- How payment for the contract was made/came into the company
- If cash/check, when it was deposited - with deposit slips
- If there are trust payments for filing fees or client funds
- How they money came in to the firm - cash, check, credit card
- That it was deposited into the correct account
- And that a corresponding check was issued form the company for the government agency.
- Matching each transactions to its appropriate accounts.
- As money comes in, it needs to be recorded in the correct financial metrics recorder AND also noted within the client's individual file in Lawmatics and/or DocketWise.
- Communicating with in-office staff to confirm certain transaction details
- Matching payments to its specific case number.
- Additional review will need to be done of vendor payments. While most are on auto-debit, there still needs to be keeping note of all delinquent payments and informing Owner.
- Communicate with vendors on any billing-related concerns.
- Update any tools/documents used for tracking cash flow on a daily/monthly basis, or as needed.
- Reports to build out
- BUDGET will be built out by Owner, HR, and admin staff.
- Billing specialist will use this, to then generate a weekly Budget Variance Report
- Balance sheet, based on: the accurate amount the of monies coming into the firm, the monies expected to be used for the overhead costs ; This will allow the company to see where we are with the finances of the firm.

**General Staff Requirements: Everyone on the team is on the hook for this**
- Maintain documentation in accordance with company standards.
- Update and create checklists for Standard Operating Procedures as your work evolves.
- Attend regular individual development, departmental, and other team meetings as requested.

**Qualifications**:
**Education/Experience**:

- High School Diploma, or equivalent; **required. **Bachelor's Degree in Business, Management, or similar; **preferred.**:

- Fluent in English, required.
- 3+ years of experience working as a billing specialist in a law firm, required.
- ** Three-Way Trust Reconciliation Experience Required.**:

- Advanced QuickBooks Online, **r**equired.** QB Certified Preferred.

- Strong communication and interpersonal skills with the ability to be personable yet persistent.
