**Job Overview**
**Key Responsibilities**
**Administrative Support**:
- Manage scheduling, agendas, and routine administrative tasks for the marketing and executive teams.
- Coordinate meetings, handle day-to-day correspondence, and follow up on action items from meeting minutes.
**Team Member Access Management**:
- Ensure all team members have access to the necessary internal platforms and troubleshoot any access issues.
- Maintain up-to-date records of access permissions and manage requests for new access.
**Process Documentation**:
- Create, organize, and maintain documentation for internal processes, ensuring clarity and accessibility for all team members.
**Billing and Collections**:
- Handle client invoicing, manage collections, and ensure timely payments.
- Coordinate with clients to resolve any billing issues.
**Accounting Follow-up**:
- Track financial transactions and maintain accurate records of all financial activities.
**Contract Management**:
- Oversee the process of managing contracts with new clients, ensuring all documentation is complete and up-to-date.
**Supplier Management**:
- Obtain quotations from suppliers and ensure timely payments.
**Project Coordination**:
- Assist in coordinating marketing projects, ensuring deadlines are met and quality standards are maintained.
- Track project progress and report updates to the relevant teams.
**Sales Management Support**:
- Assist with sales-related tasks, including researching potential clients, updating CRM systems, and managing sales materials (both digital and physical).
**Communication and coordination**:
- Maintain effective and timely communication with executives, clients, and suppliers.
- Ensure smooth coordination between different departments to enhance overall operational efficiency.
- Coordinate meetings, handle day-to-day correspondence, and follow up on action items from meeting minutes.
**Qualifications**
**Education & Experience**:
- Bachelor’s degree in Business Administration, Management, or a related field is preferred.
- 2+ years of experience in an administrative or office management role, preferably in a digital marketing or tech environment.
**Skills & Abilities**:
- Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- Fluent in English and Spanish
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite and experience with project management tools (e.g., Asana, Teamwork) are pluses.
- Ability to work independently and proactively identify and solve problems.
- Experience with billing, accounting follow-up, and contract management is highly valued.
- Familiarity with CRM systems and digital marketing tools is a plus.

**Salary**:
- Up to COP 6,240,000.00 a month.
