Monday-Friday, 8:00 AM to 4:30 PM EST

Client Overview:

Position Overview:

We are seeking a highly organized and proactive Virtual Executive Assistant to support the President/CFO. The ideal candidate will be adept at managing a variety of administrative tasks, ensuring the smooth and efficient operation of both business and personal affairs. This role requires exceptional communication skills, attention to detail, and the ability to handle multiple tasks with discretion and professionalism.

Key Responsibilities:

Calendar Management:

  • Manage and maintain home and business calendars, schedule meetings, and coordinate appointments.
  • Ensure all engagements are timely and effectively organized.
  • Build daily, weekly, and monthly agendas.

Travel Arrangements:

  • Assist with travel planning, including booking flights, hotels, and transportation.
  • Prepare detailed itineraries and handle any changes or cancellations promptly.

Reporting and Data Management:

  • Prepare and organize daily, weekly, and monthly updates on company and financial activities, pulling basic metrics from different internal systems.
  • Conduct simple data pulls and present information in a clear and concise manner.

Board Meeting/Tenant Coordination:

  • Schedule and assist in the management of board meetings, including those for 501(c)(3) organizations.
  • Prepare agendas, documents, and follow up on action items.
  • Ensure property tenants are managed appropriately.

Project Management:

  • Assist with project management and task organization to ensure timely completion of tasks.
  • Track progress and provide updates on items of interest, and follow up as directed.

Personal and Business Interface:

  • Assist in coordinating the interface between home and business activities.
  • Manage personal calendars, updates, and financial reporting.

Social Media Management:

  • Post content to social media platforms as directed and work with the internal social media team.

Qualifications:

  • Preferred experience as an executive assistant or in a similar role.
  • Very strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Technologically proficient.
  • High availability for 1-off requests and occasional ability to work outside of core hours.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Experience with social media platforms and basic content management.
