Overview

The Leasing Operations Manager supports Nooklyn's leasing and operations team in New York City while working remotely from Bogotá, Colombia. The role oversees the full lifecycle of leasing operations—from acquisition preparation, to listing setup, to active management once units go live. This position ensures all processes run efficiently, listings are accurate and optimized, and the leasing team is supported with the structure, assets, and data needed to perform at a high level.

Key Responsibilities
1. Acquisition Period

During the acquisition and pre-marketing phase, the Leasing Operations Manager prepares all operational groundwork needed for an efficient launch.

  • Set up the rent roll based on architectural plans and building layouts.
  • Identify and categorize HPD units.
  • Perform internal and external comps research to understand market pricing.
  • Coordinate creation and execution of contracts and agreements.
  • Prepare commission sheets, expense estimates, and budget documentation in collaboration with Finance.
  • Ensure necessary Excel-based tracking sheets, pricing models, and workflows are set up.

2. Setup Period

Once the building or unit is ready to prepare for launch, the Leasing Operations Manager organizes all listing assets, leasing workflows, and digital infrastructure.

Leasing Documentation & Tools

  • Prepare lease templates and finalize lease documentation.
  • Coordinate DocuSign setup for leasing workflows.
  • Confirm building availability on GET IT or other leasing systems.

Photos, Floorplans, and Marketing Assets

  • Coordinate shot lists for photography.
  • Hire or manage photographers/videographers.
  • Oversee photo delivery, edits, approvals, and organization.
  • Organize folders by unit type (e.g., 1 beds, 2 beds).
  • Review architectural plans and ensure floorplans are accurate.
  • Create and maintain a well-organized asset library.

Listing Setup (StreetEasy, etc.)

  • Prepare and upload listings.
  • Build and structure listing packages and marketing pages.
  • Add leasing team members as agents on platforms.
  • Ensure phone numbers, emails, and contact points are correctly displayed.

Email & Communication Setup

  • Configure Front App or inbound email system.
  • Set up leasing team inboxes, times, notifications, and workflows.
  • Configure SCR systems.

Applications & Guarantor Processes

  • Define application requirements.
  • Create and manage submission templates.
  • Set up guarantor workflows (e.g., TheGuarantors or other services).
  • Clarify approval responsibilities and communication paths between leasing team and third-party guarantor services.

3. Management Period

Once listings are live, the Leasing Operations Manager supports leasing performance, agent activity, and ongoing operational needs.

Staging & Physical Setup

  • Coordinate staging, staging budgets, and vendor scheduling.
  • Oversee staging installation and removal.
  • Track staging costs and manage invoices.

Listing Performance Management

  • Refresh StreetEasy listings as-needed.
  • Execute listing strategy adjustments.
  • Run comps and generate pricing recommendations.

Team Coordination & Follow Up

  • Follow up with agents on leads, tours, and application progress.
  • Provide support for property management issues related to leasing.

Zillow & Other Platforms

  • Oversee platform costs and invoicing.
  • Ensure listing accuracy and performance.

SCR & Data Feedback

  • Maintain SCR data.
  • Monitor performance trends.
  • Provide insights and recommendations to leadership.

Additional Responsibilities

  • Ensure all unrelated but essential tasks (StreetEasy approvals, Matrix approvals, photo approvals) are completed in a timely manner.
  • Organize deal books and ensure all information is accurate and standardized.
  • Maintain consistent documentation, checklists, and operational processes.
  • Assist in strategy and planning for both new developments and ongoing leasing operations.

Ideal Candidate

  • Highly organized and detail-oriented.
  • Strong understanding of US rental marketing platforms and tools.
  • Intermediate to advanced Excel/Google Sheets skills.
  • Comfortable coordinating between leasing, finance, property management, and external vendors.
  • Experience in real estate operations, leasing coordination, or project management preferred.
