Legal Procurement Intern
to join the team. The Legal and Procurement Intern will support the Procurement Management Team and the Legal & Compliance Department in the administrative coordination of procurement processes and the internal payment workflows related to external providers (particularly law firms and other professional services).

This role is designed to provide hands-on exposure to the end-to-end procurement and billing cycle, while contributing to essential tasks such as tracking deadlines, preparing and circulating documentation, organizing approvals, and ensuring that procurement and payment processes are completed in a timely and efficient manner. The intern will assist in organizing procurement files, maintaining contract and supplier records, preparing basic summaries and checklists, and supporting the follow-up with internal stakeholders so that procurement and payment requests move forward with minimal delays.

The position will also support the verification and routing of invoices and fee notes from external providers, helping to confirm alignment with the agreed contractual terms (e.g., milestones, hourly fees, fee caps and payment schedules), and coordinating with the Finance team for their timely processing.

The position must ensure strict compliance with CTG's procurement and billing policies, internal controls, and applicable compliance frameworks, by maintaining accurate, complete and confidential documentation at all times.

Key job responsibilities:

Procurement process support

  • Assist in gathering supplier quotations, preparing procurement documents, and coordinating their circulation for internal approvals.
  • Track deadlines, follow up with internal stakeholders, and help ensure procurement processes move forward efficiently.
  • Update supplier records, contract information, and procurement trackers.

Documentation and records management

  • Maintain organized and accurate digital files for procurement and contract documents.
  • Prepare meeting notes, summaries, and basic reports as required.
  • Monitor contract dates and support renewal reminders.

Billing and payments workflow

  • Collect and perform preliminary reviews of invoices and fee notes from external providers, verifying alignment with agreed contractual terms (milestones, hourly fees, caps, and deliverables).
  • Support the preparation of internal payment requests and coordinate their approval with Finance, Procurement, and Legal.
  • Maintain updated trackers of invoices, payments, and budget execution.

Cross-functional coordination and communication

  • Communicate with suppliers regarding documentation requests, clarifications, and invoicing matters under supervision.
  • Collaborate with Finance, Legal & Compliance, and other teams to advance procurement and payment workflows.

Compliance and administrative support

  • Ensure all procurement and payment activities comply with internal policies, approval matrices, and SAGRILAFT/PTEE requirements.
  • Assist with onboarding and monitoring of supplier compliance documentation.
  • Provide general administrative support to the Procurement and Legal & Compliance teams.

Requirements:

  • At least 2 years of experience.
  • Previous internship or academic experience in administration, procurement, finance, or legal support roles.
  • Strong organizational skills and ability to manage multiple tasks and deadlines simultaneously.
  • High attention to detail and accuracy in document handling, data entry, and review of figures.
  • Basic understanding of invoices, billing concepts, and how to compare them against contracts or proposals.
  • Excellent written and verbal communication skills for effective coordination with various departments and external providers.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint), with the ability to prepare simple reports and trackers.
  • Willingness to learn about procurement processes, internal controls, and compliance requirements.
  • High sense of responsibility, confidentiality, and integrity when handling sensitive legal and financial information.
  • Fluently spoken and written English
  • Fluently spoken and written Chinese is a plus
  • Spoken and written Spanish
