About the Role
We're seeking a highly organized, service-driven Guest Experience Coordinator to own the full guest lifecycle—from move-in to move-out—for a fast-growing corporate housing and hospitality organization.
This role is critical to delivering a seamless, high-quality guest experience. You'll ensure accommodations, utilities, inspections, and vendor services are properly coordinated before arrival and smoothly closed out at departure.
You'll blend frontline guest and client communication with operational coordination, proactive problem-solving, and data accuracy—maintaining a polished, VIP-level service experience across every guest touchpoint.
You'll partner closely with property managers, landlords, utility providers, concierge and inspection vendors, and internal operations teams to ensure every transition is executed smoothly, on time, and to brand and client standards.
Responsibilities
- Guest Experience & Communication
- Deliver a consistent VIP-level service experience for guests, clients, and internal partners.
- Respond promptly and professionally to inbound calls and emails related to arrivals, departures, extensions, and service requests.
- Provide clear move-in and move-out instructions to ensure smooth transitions.
- Act as a calm, solutions-oriented point of contact during time-sensitive situations.
- Move-In (Arrivals)
- Coordinate guest arrivals end-to-end with vendors and property teams.
- Confirm and track utility setups prior to guest arrival.
- Schedule pre-arrival checks and move-in inspections with concierge/inspection vendors.
- Partner with property managers to ensure accommodations meet company and client standards.
- Identify risks or delays early and escalate proactively to ensure on-time arrivals.
- Move-Out (Departures)
- Manage notice-to-vacate and extension requests with speed and accuracy.
- Coordinate move-out timelines and services across vendors and partners, including:
- Utility disconnect scheduling and confirmations
- Furniture tear-down and move-out logistics
- Move-out inspections and condition reviews
- Ensure move-out data and billing-related updates are accurate and complete.
- Proactively flag risks, delays, or discrepancies and escalate as needed.
- Operations & Data
- Maintain accurate records across arrivals, extensions, and departures.
- Follow through on open items and conduct regular data audits for completeness and compliance.
- Support process improvements and SOP documentation as the operation scales.
About You
- 2+ years of experience in corporate housing, relocation, hospitality, real estate, or a customer-facing B2B service environment.
- Exceptionally strong written and verbal communication skills; calm, professional, and solutions-oriented.
- Highly detail-oriented with strong ownership, organization, and follow-through.
- Proactive and self-directed; comfortable working independently in a fast-paced remote environment.
- Confident coordinating across multiple vendors, timelines, and priorities.
Requirements
- Must be based in Colombia (this role is for candidates located in Colombia only).
- Fluent in English (additional languages are a plus).
- Full-time availability aligned with Colombia time (GMT-5), with flexibility for urgent, time-sensitive arrivals or departures.
