About the Role

This role is critical to delivering a seamless, high-quality arrival experience for guests and clients, ensuring accommodations, utilities, and vendor services are properly set up prior to move-in.

You'll blend frontline guest and client communication with operational coordination and data accuracy, maintaining a polished, VIP-level service experience across every guest touchpoint.

You'll partner with property managers, utility providers, concierge and inspection vendors, and internal operations teams to ensure every arrival is executed smoothly, on time, and to brand and client standards.

Responsibilities
  • Deliver a VIP-level service experience for guests, clients, and internal partners.
  • Respond promptly and professionally to inbound calls and emails regarding arrivals, instructions, and requests.
  • Provide clear arrival instructions and ensure a smooth move-in experience.
  • Coordinate arrivals end-to-end with vendors and property teams
    • Confirm and track utility setups prior to guest arrival.
    • Schedule move-in inspections and pre-arrival checks with concierge/inspection vendors.
    • Partner with property managers to ensure accommodations meet company and client standards.
  • Maintain accurate records, follow through on open items, and run regular data audits for completeness and compliance.
  • Identify risks, delays, or issues early and escalate proactively to ensure a smooth, on-time arrival.
About You
  • 2+ years of experience in corporate housing, relocation, hospitality, real estate, or a related customer-facing B2B service environment.
  • Exceptionally strong written and verbal communication skills, with a calm, professional, solutions-oriented style.
  • Highly detail-oriented with strong ownership, follow-through, and a commitment to data accuracy.
  • Proactive and self-directed, confident working independently in a remote, fast-paced environment.
Requirements
  • Must be based in Colombia (this role is for candidates located in Colombia only).
  • Fluent in English (additional languages are a plus).
  • Available to work core service windows, with flexibility for urgent, time-sensitive escalations.
