Position: Virtual Assistant

Salary: COP | $980 USD
Schedule: 9:00 AM – 5:30 PM MT
Contract Type: Independent Contractor Agreement

About Us
We are a dynamic photo, video, and drone production company seeking a proactive, systems-oriented Virtual Assistant to provide project management, organizational, and operational support. You will work directly with the leadership team to manage inboxes, input leads into our CRM, track project milestones, coordinate editors, organize deliverables, and build systems that ensure smooth operations.

The ideal candidate is detail-oriented, efficient, and resourceful—someone who takes initiative, thinks strategically, and uses AI tools to streamline workflows and improve productivity.

Key Responsibilities

  • Manage inboxes, leads, and project pipelines within the CRM.
  • Track project milestones and ensure all deliverables are completed on schedule.
  • Assign and coordinate editing tasks between clients and editors.
  • Organize and label final deliverables accurately and efficiently.
  • Create and maintain SOPs, checklists, and operational systems documentation.
  • Keep CRM and dashboards updated with accurate project information.
  • Assist with uploading approved content to the website and social media (secondary phase).
  • Prepare weekly reports summarizing progress, leads, and deliveries.
  • Support onboarding of future assistants or team members as the team grows.

Requirements

  • Excellent written and verbal English communication skills.
  • Strong organizational and project management abilities.
  • CRM and data entry proficiency.
  • Familiarity with WordPress or Elementor.
  • Knowledge of photo/video file organization and delivery workflows.
  • Ability to document and systematize processes.
  • AI literacy and workflow innovation mindset.
  • Reliable, detail-oriented, and self-motivated.
