Administrative Support Specialist

Job Responsibilities:
As a key member of Bruntwork’s remote team, the Administrative Support Specialist will play a vital role in ensuring the seamless day-to-day operations of our business. The successful candidate will possess excellent organizational skills, attention to detail, and strong verbal and written communication skills.
Data Entry and Maintenance:
Perform accurate and timely data entry tasks to update and maintain various databases and records. Ensure data integrity and consistency across all entries.
Payroll and Accounts Payable Support:
Assist with payroll processing tasks such as data collection, timekeeping, and payroll calculations. Collaborate with the payroll department to ensure accurate and timely payroll submissions. Assist with accounts payable tasks including invoice processing, vendor communication, and payment scheduling. Maintain organized records of all AP transactions and ensure adherence to payment deadlines.
Administrative Support:
Provide general administrative support such as managing email correspondence, scheduling appointments, and organizing files and documents. Coordinate and schedule meetings, conferences, and other events as required. Assist with travel arrangements and accommodation as needed. Perform light social media management and client calls as needed.
Communication and Collaboration:
Communicate effectively with team members and external stakeholders to facilitate smooth workflow and information exchange. Collaborate with colleagues to support departmental goals and initiatives.
Requirements:
Proven experience in administrative support roles, preferably in a virtual or remote setting. Proficiency in data entry and familiarity with database management systems. Basic understanding of payroll and accounts payable processes is desirable but not required. Excellent organizational skills and attention to detail. Strong verbal and written communication skills. Ability to prioritize tasks and manage time effectively in a remote work environment. Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications. Ability to maintain confidentiality and handle sensitive information with discretion.
