Job Overview: Executive Assistant
Salary: $1,000 - $1,200
Schedule: M-F, 9AM- 6PM, PST
We are in search of a detail-oriented and proactive Executive Assistant to support our operations. The successful candidate will undertake a variety of administrative and operational responsibilities to facilitate the efficient functioning of our business.
Key Responsibilities:
Operational Oversight:
- Perform daily operational assessments and compile reports.
- Oversee management software to ensure effective task execution.
- Assist employees in utilizing management tools efficiently and confirm task completion.
Financial Administration:
- Generate and distribute payroll documentation using Excel.
- Ensure payroll systems are operational and address payroll inquiries.
- Validate cash deposits against employee submissions.
- Handle bill payments, establish new accounts, and execute payments as necessary.
Administrative Support:
- Organize the executive's personal calendar, including scheduling appointments and travel arrangements.
- Manage incoming calls and correspondence.
- Oversee and respond to business reviews and messages on the company's communication platform.
Management Duties:
- Dedicate approximately 1 hour daily to overseeing management software.
- Ensure task completion by staff, emphasizing visual reporting.
Email and Calendar Coordination:
- Develop and implement strategies for efficient email management.
- Introduce innovative ideas to enhance calendar management and scheduling effectiveness.
Qualifications:
- Experience in administrative or similar roles.
- Proficiency in Microsoft Excel and familiarity with management software.
- Strong organizational and multitasking capabilities.
- Excellent written and verbal communication skills.
- Flexibility to work varied hours, with some overlap with part-time hours.
Preferred Skills:
- Experience in managing personal calendars and scheduling appointments.
- Ability to establish systems for effective email management and filtering.
- Proactive mindset in suggesting process enhancements.
