Administrative Operations Coordinator

This is a remote position that requires a highly organized and detail-oriented individual to manage administrative tasks, coordinate projects, and provide exceptional customer service.
Key Responsibilities:- Manage customer relationships through Heat Factory CRM (Go High Level platform) and handle inquiries via phone, email, and social media.
- Qualify leads, schedule site visits, and maintain regular communication with clients.
- Create and send automated emails, develop and update brochures, and manage client documents.
- Optimize One-to-Build software for job tracking, coordinate subcontractor schedules, and maintain project data.
- Ensure daily work diaries are completed, assist in resource allocation, and manage progress payments.
- Prepare and send quotes, manage contracts, arrange home warranties, and process bills.
- Maintain compliance documentation, track licenses and certifications, and manage the compliance calendar.
- Optimize Heat Factory CRM and One-to-Build, document processes, and create Standard Operating Procedures (SOPs).
- Assist with preliminary packs for design projects, support digital marketing efforts, and coordinate with external marketing partners.
- Set up processes for pool construction operations, manage inquiries and bookings, and ensure proper documentation and compliance.
- Proficiency in construction management software (One-to-Build) and CRM systems.
- Strong organizational skills to manage multiple projects.
- Excellent communication skills.
- Basic understanding of construction processes and terminology.
- Proficiency in Microsoft Office and cloud-based tools.
- Attention to detail, especially for financial and compliance tasks.
- Customer service orientation.
- Experience in construction industry administration.
- Knowledge of construction contracts and documentation.
- Basic bookkeeping and financial management.
- Familiarity with digital marketing tools.
- Understanding of pool construction processes.
