Role Overview → Your Contribution to Operational Excellence

As a Buyer Assistant, you will play a pivotal role in the intersection of procurement and operational support. Your responsibilities will encompass assisting in the purchasing process, managing financial transactions, and enhancing operational efficiencies. This position is vital for ensuring seamless integration between purchasing and operational workflows, maintaining accurate records, and facilitating effective transaction management.

Employment type: Indefinite term type contract
Shift: Monday to Friday | 8:00 AM to 5:00 PM (EST)
Work setup: Remote

Key Responsibilities → Essential Functions in Enhancing Operations

Purchasing Assistance:

  • Support the preparation and processing of purchase orders.
  • Engage with suppliers to ensure prompt delivery and address any order-related challenges.

Operational Support:

  • Assist in daily operational tasks, including administrative duties, data entry, scheduling, and coordinating activities.
  • Act as a communication bridge between departments or between management and staff.
  • Identify and address operational challenges with guidance from senior management.

Financial Management:

  • Review and process vendor invoices, ensuring alignment with purchase orders and receipt documentation.
  • Validate and process customer invoices, ensuring accurate handling and delivery through accounting software.

Documentation and Compliance:

  • Maintain precise records of purchase orders, invoices, and related documentation.
  • Ensure adherence to company policies and financial regulations in purchasing processes.


Qualifications Needed → Skills for Operational Success

  • Understanding of Purchasing and Procurement: Familiarity with purchasing processes and vendor management.
  • Detail-Oriented: High level of accuracy in managing purchase orders, invoices, and financial records.
  • Organizational Abilities: Capacity to prioritize and manage multiple tasks, including order processing and financial tracking.
  • Analytical Skills: Competence in analyzing financial data and identifying trends or discrepancies.
  • Effective Communication: Ability to communicate clearly with team members, suppliers, and management.
  • Technical Skills: Proficiency in accounting software (e.g., QuickBooks, SAP), Salesforce CRM, and Microsoft Office (especially Excel).
  • Bilingual: Proficiency in both English and Spanish is essential.
