Job Overview

We invite you to become a vital member of our team as an Administrative Support Specialist. In this role, you will be essential in ensuring the effective and organized functioning of our office operations. Your contributions will be key in maintaining a structured work environment, facilitating efficient administrative workflows, and reinforcing our dedication to high standards.

We seek a detail-oriented, reliable, and punctual individual to support the Office Management team by providing essential office assistance in daily activities.

Primary Responsibilities:

  • Oversee daily operations at the reception area.
  • Welcome, assist, and guide visitors to the appropriate personnel.
  • Handle incoming and outgoing communications according to company policy, including signing for deliveries and managing mail and packages.
  • Administer the Biometric system, coordinate taxi services, manage visitor registration, and ensure compliance with established protocols.
  • Collaborate with the Security team.
  • Maintain and coordinate administrative records, including staff and guest parking arrangements.
  • Ensure adherence to all company policies and procedures.
  • Assist in organizing meetings, conferences, and teleconferences, ensuring that meeting rooms are stocked with necessary supplies.
  • Address customer inquiries and resolve issues effectively.
  • Manage supplier relationships and oversee their activities.
  • Support daily procurement tasks.
  • Perform other duties as assigned by direct management.

Qualifications:

  • Completion of high school or relevant university studies.
  • Willingness to cover shifts for Office Coordinators during absences.
  • Strong focus on processes with a high level of responsibility and punctuality.
  • Ability to accurately execute management directives and tasks.
  • Attention to detail is crucial.
  • Capacity to thrive in a fast-paced environment with a proactive approach to daily responsibilities.
  • Exceptional verbal and written communication skills.
  • High proficiency in technology and Microsoft Office applications.
  • Excellent command of English, both written and spoken.
  • Availability to work on-site.
