What can you expect in a "Facilities Manager" role with TaskUs:

The Facilities Managers are considered the leaders of the operations of TaskUs' properties. They are our subject matter experts who provide guidance to the Facilities team as they strive to provide a world-class environment that will allow our teammates to be their best at work. They are expected to provide thoughtful leadership guided by the TaskUs Core Values in running the site. The TaskUs brand shall be evident through the quality of service your team provides to anyone who walks into our locations - from maintaining cleanliness, ensuring everyone is safe, giving quality meals, and keeping the whole site in good working condition.

SKILLS - ADMINISTRATIVE AND SITE MANAGEMENT People Engagement

  • Able to work with a diverse group of people of different cultures and nationality.
  • Solicit constant feedback on the site and working conditions from the employees by implementing regular walkthroughs, focus group discussions, surveys, and attending site leadership forums, and provide timely resolution to concerns.
  • Formulate programs that will increase employee's work efficiency and job satisfaction.
  • Customer oriented person but can call out anybody if needed.
  • Anticipate internal and external scenarios that can affect the company in terms of deadlines and impact to business. Ready for Plan A, B and C when necessary.
  • Anticipate changes on growth and expansion that are related to the company that can affect the Facilities Management in terms of service efficiency and delivery.
  • Able to build strong relationships with all external parties he/she will be working with, such as the property management and lessors of his/her site's location, the local government units, other industry leaders etc.

Engineering Maintenance

  • Formulate and implement preventive maintenance programs for the site relative to Architectural, AC, Plumbing, Electrical and Electronics, and other engineering disciplines.
  • Be able to anticipate equipment failure through its life span, performance and historical records.
  • Be able to set up, recommend upgrade or replacement of an equipment prior to failure.
  • Knowledgeable on the industry's best practices and latest technology, and use such knowledge in formulating the maintenance program for the site.
  • Well organized and keeps track of equipment health as well as schedule of Preventive Maintenance.
  • Has a pool of vendors for specialty work.
  • Well versed in utility management (Water & Electricity). Able to identify efficiencies to manage consumption without compromising employee quality of life.
  • Can construct comprehensive engineering reports.

Construction Management

  • Must be able to vet vendors and keep relationships with them to ensure quality service and delivery is given to the company at all times.
  • Be able to review, audit and recommend working drawings.
  • Provide technical specifications and review computations as necessary.
  • Well versed on the standards of Building, Electrical, Sanitary, Fire Code, and other engineering and government regulations.
  • Know-how on the permitting process on LGU, PEZA, BOI, and other government regulating bodies.
  • Well versed in construction methodologies, and able to anticipate problems during site build outs.
  • Ability to construct comprehensive technical reports.

Housekeeping and Office Upkeep

  • Take lead in implementing the site's housekeeping program.
  • Accountable in the overall cleanliness and orderliness of the reception, operations area, offices and conference rooms, and restrooms.
  • Sets standards and expectations of cleanliness to the vendor. Maintains a good working relationship with them to ensure quality service and delivery is given to the company at all times.
  • Conducts a quarterly performance evaluation, and discusses wins and opportunities with the vendor to further improve quality of service.
  • Accountable in overall inventory management. Ensures that pantry and toiletry supplies are of ample quantity by setting reorder levels.
  • Leads RFP/bidding of vendors when necessary.

Safety and Security

  • Assists the Safety and Security Team in managing the physical security operations of the site.
  • Helps implement the safety program of the company in coordination with the Safety and Security Team.
  • Acts immediately to correct any unsafe act or hazards that pose risk to TaskUs employees
  • Assists government-authorized officials in the site inspection related to safety
  • Handles closure of the findings or recommendation from site inspection
  • Must be able to present safety and security procedures of TaskUs in relation to our safety and security standards and must pass through our Safety and Security Director.
  • Knows how to strategically position guards to ensure efficient enforcement of security.
  • Knows the strategic positioning of CCTV. Well versed in CCTV protocols.
  • Sets standards and expectations to the security force. Maintains a good working relationship with them to ensure quality service and delivery is given to the company at all times.
  • Conducts a quarterly performance evaluation, and discusses wins and opportunities with the vendor to further improve quality of service.
  • Leads RFP/bidding of vendors when necessary.

Financial Management

  • Must have proven knowledge of financial analysis and strategy, in which he/she can use in formulating programs that will contribute to the site's operational efficiency.
  • In-depth knowledge of financial reporting standards related to Facilities management.
  • Analytical skills and attention to detail. Must have enough financial acumen to coach and guide the Facilities Officers in managing the site Opex and Capex spending.
  • Strong Excel skills.
  • Excellent ability to problem solve along with solid analytical skills, understanding of the business process, and systems optimization.
  • Comfortable interacting with all levels of management in multiple areas and discussing business financial strategies and insights.
  • Ability to review data and make relevant management decisions.

SST Responsibilities

  • Ensure the accountability of the positions to which responsibilities have been delegated in the safety and health management system.
  • Define and allocate the financial and technical resources and personnel necessary for the design, implementation, review, evaluation and improvement of prevention and control measures so that those responsible for occupational health and safety in the company can satisfactorily perform their duties.
  • Ensure compliance with current legal requirements applicable to the OSHMS.
  • Adopt effective provisions for the management of hazards and risks of workers and/or contractors, equipment and facilities.
  • Collaborate in the development of activities for the prevention of work accidents and occupational diseases, as well as health promotion, in conjunction with the HSEQ area.
  • Guarantee and allow the participation of workers and their representatives before the Joint Committee or Health and Safety at Work Oversight and also that the latter function and have the time and other necessary resources.
  • Inform workers and/or contractors, the representatives before the COPASST, the development of all stages of the SG-OSH and also evaluate the recommendations emanating from them.
  • Ensure the training of workers in the aspects of occupational health and safety, within the working day.
  • Inform the COPASST and Coexistence Committee of any new development that may affect the correct performance of the OSH Management System.
  • Ensure compliance with established OSHMS programs and plans.
  • Review the OSHMS at least once a year.
  • Maintain communication with the personnel in order to know their needs in terms of Occupational Safety and Health.
  • Ensure that the appropriate personal protective equipment is used and maintained in good condition for each task.
  • Allow the participation of their collaborators in the activities programmed by the COPASST, COEXISTENCE COMMITTEE and/or the organization in OSH aspects.
  • Set an example in complying with all the Safety Standards and procedures of the SG.
  • Properly use and take care of personal protection elements, personal protection equipment and protection systems provided by COPASST, the
  • equipment and protection systems provided and implemented by the company if applicable to the position.
  • Ensure the good order and cleanliness of their area.
  • Immediately report acts, unsafe conditions, adverse health conditions, emergencies, environmental impacts or possible environmental impacts, accidents and near misses, safety risks, process failures, nonconforming products and others that may affect safety and health.
  • To take integral care of their health and to perform work activities in a safe manner.
  • Attend and actively participate in training, induction, prevention and risk control activities defined by the company, the COPASST and the Coexistence Committee.
  • Participate and contribute to the fulfillment of the OSH objectives.
  • Communicate all suggestions and consult all concerns related to occupational health and safety.
  • Before starting any activity, identify and analyze risk situations and report to the OSH manager if necessary.
  • Make rational use of paper, water, energy and natural resources.
  • Elect or be elected as a member of the Copasst or Coexistence Committee.
  • Participate in the identification of hazards, evaluation and risk assessment.
  • Know and apply the actions described in the emergency plan.

Required Qualifications:

  • He/She should have at least 5 years experience in Facility management and/or Hospitality/Customer Experience, Cruise ships, Resorts, Hospitals, and the like in a management/leadership capacity.
  • Must have strong moral standards and professional ethics. Should be able to coach and make decisions based on the highest standards of integrity.
  • Mentoring capability and being able to make sound decisions with little to no supervision.
  • At least 7 years experience in property or facilities management.
  • BPO/Corporate or Hospitality experience is a plus factor.
  • Knowledgeable with PEZA, BOI, and general government licensing.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public through business presentations or townhalls.
  • Capable of giving best judgement on escalations and emergency situations. Must be able to analyze situations quickly to make the best decision.
  • High level of Emotional Intelligence and can keep up with changes and new directions. Quick on their feet and overall good decision maker.
  • Must have a high level of perseverance and passion.
  • Willing to work in a cyclical schedule.
