Purpose & Overall Relevance for the Organisation:
- Responsible for managing accurate payroll execution, payroll process consistency and payroll data accuracy with a focus on payroll accounting and taxes for LAM. Responsible for compliance with local regulations, laws and standards as well as customer satisfaction for payroll delivery.
- Key Responsibilities:
- This role will be key to develop the Payroll regional organization as part of the GBS HR Services model implementation in Latinamerica, and at the same time will lead the HR Services organization for Brazil.
- Payroll:
- Ensure the accurate and timely filing of payroll taxes, payments, and other statuary information requests in each country
- Identify solutions for routine payrollrelated issues and organization of team to meet rigid payroll deadlines.
- Lead, direct, evaluate and develop a team of payroll specialists to ensure that the strategic priorities are effectively implemented.
- Develop, implement, and recommend processes and procedures to create efficiency and standardization. Maintains complete and accurate policy and procedure documentation.
- Actively participate in HR Projects and lead projects related to payroll, payroll processes and payroll systems, continuously driving improvement.
- Collaborate with the corporate tax on all payroll tax related matters and with accounting related to month end process.
- Ensures all payrolls, accounting and auxiliary system requirements are met regarding tax setup, tax deposits, tax filing, yearend reconciliations. Ensures compliance with all applicable federal, state, and local tax regulations as well as wage and hour laws.
- Ensure timely communication of changes to payroll policies, procedures, and regulations to employees and stakeholders.
- Ensure appropriate handling for inbound & outbound international employees including shadow payroll when required
- Process reports for internal management and external audit requests, including biweekly and quarterly reporting, reclassing and analysis to the Finance Team.
- Respond to more complex, escalated enquiries from team members and resolve difficult enquiries from and recommend solutions for Rewards Experts, HR Partner, Finance, and employees
- Manage ongoing relationships with external suppliers and consultants (e.g. payroll and system consultants, tax authorities, etc.) to include selected vendors, managing contracts and ensuring satisfactory service standards
- HR Services Brazil:
- Supervise and ensure the execution with excellence of the end-to-end payroll processes for the countries under the responsibility and in compliance with local laws and company rules and guidance
- Oversees the execution with excellence of the HR Services/Hire to Retire processes like Document Management (filing and archiving of documents, contracts/letters, certificates, others), Leave and Absence Administration (vacations, sick/parental/maternity leaves), Master data Management (people and organizational data management), Exit Management (administrate involuntary, voluntary and retirements exits), Administer time management, Manage SAP Maintenance of Data according to global and regional systems management policy to ensure system harmonization and data integrity
- Oversee the benefits administration processes for the country, working in alignment with the regional and local organization Rewards
- Supervise and administrate mobility local activities to ensure employee movements ensuring compliance and adherence to mobility policy. Additionally, collaborate with regional Mobility Manager on local mobility vendor management activities
- Manage employee enquiries related to HR Services processes
