Position: Executive Assistant
Working Hours: 9 a.m. to 5 p.m. EST. Monday to Friday
Holidays: Local Holidays
Salary: 1000 - 1500 USD
Benefits: 15 vacation days, 7-10 days of PTO, 5 pay sick days, 100-150 UDS Medical Allowance, 300 USD for WFH allowance.
Location: Remote (Only for LatAm)

About You:
We seek a highly organized and proactive Executive Assistant to support our team by managing various administrative tasks and ensuring efficient communication and documentation processes. The ideal candidate will have exceptional multitasking abilities, strong attention to detail, and proficiency in utilizing various digital tools and platforms.
Responsibilities:
- Compile and Present Information: Gather and synthesize information from diverse sources, including Slack DMs, emails, Notion notifications, and Notion page updates. Present the compiled notes and updates to the executive clearly and organizedly.
- Run Daily Standup: Facilitate daily standup meetings to inform the executive about project progress and upcoming tasks. Document key points and action items discussed during standup meetings.
- Documentation Management: Ensure extensive and high-quality documentation of project details. Organize documentation efficiently for easy retrieval and reference. Contribute to creating presentation slides.
- To-Do Organization and Management: Consolidate and organize all to-dos into a dedicated system, utilizing tools like Notion, Airtable, and Google Drive. To prioritize tasks effectively, provide reminders, check-ins, and follow-ups during standup meetings.
- Communication and Reports: Act as the first line of defense for incoming communication requests. Initiate documentation of important communication and pull reports as needed from various channels. Pull data reports and highlight key insights.
- Keep Me Informed: Proactively update the executive on key events, deadlines, and priorities.
- Accounting: Issue invoices and organize expenses in a timely and accurate manner.
- Calendar and Communication Screening: Screen and organize the executive's calendar, ensuring optimal time management. Assist in screening communications to filter and prioritize messages effectively.
Benefits

- Proficient in project management tools such as Trello, Notion, Monday.com, or Jira.
- Knowledge of project coordination/management practices.
- Strong skills using Gmail, Slack, Google Drive, Airtable, and basic automation.
- Familiarity with e-commerce technology stacks, including platforms like Shopify.
- Outstanding organizational and multitasking abilities.

- Keen attention to detail.
- Excellent note-taking and writing capabilities.
