Role Overview

We are seeking a Senior Executive Assistant to support the Office of the CEO. You'll serve as the CEO's right hand, ensuring that communication, scheduling, and strategic execution remain seamless. This is a critical role that demands exceptional attention to detail, high emotional intelligence, and the ability to thrive in fast-moving, high-stakes environments.

The ideal candidate is a disciplined operator who anticipates needs, handles sensitive information discreetly, and ensures the CEO's bandwidth is maximized across strategic priorities.

Your Impact
  • You will enable the CEO to focus on high-value decisions by managing critical scheduling, communication, and operational workflows.
  • You'll elevate organizational precision — ensuring every meeting, trip, and document aligns with the company's mission and strategic goals.
  • Your proactive problem-solving will help eliminate friction, foster collaboration, and sustain momentum across executive initiatives.
  • You'll create structure, documentation, and systems that scale with the growth of the firm and its leadership team.
Core Responsibilities

Calendar & Scheduling Management – 35%

  • Manage and optimize the CEO's calendar, prioritizing strategic commitments.
  • Anticipate and resolve scheduling conflicts with precision and discretion.
  • Coordinate pre-meeting briefs, logistics, and follow-up actions.
  • Maintain readiness for shifting priorities and high-demand scheduling.

Executive Travel & Logistics – 20%

  • Plan and manage all domestic and international travel for the CEO.
  • Handle real-time itinerary changes, bookings, and vendor coordination.
  • Prepare detailed briefing packets and ensure alignment between travel and strategic objectives.

Communication & Coordination – 25%

  • Serve as the liaison between the CEO and key stakeholders.
  • Draft and edit correspondence, reports, and documentation in an executive voice.
  • Maintain CRM systems to track engagements and manage relationships.
  • Partner with the Chief of Staff and senior team to ensure cross-functional alignment.

Operational Systems & Documentation – 15%

  • Lead CRM and productivity system management (HubSpot, ClickUp, etc.).
  • Implement administrative automation and AI/Copilot workflows.
  • Maintain SOPs, reports, and documentation with clear formatting and consistency.

Special Projects & Office of the CEO Support – 5%

  • Support enterprise-level meetings, retreats, and strategic projects.
  • Track deliverables, surface insights, and ensure alignment across initiatives.
Requirements

Must-Have (Required):

  • 8+ years of experience supporting C-suite executives (CEO, Founder, or similar).
  • Mastery of Microsoft 365 Suite (Outlook, Excel, PowerPoint, Word) and AI/Copilot tools.
  • Strong scheduling and coordination expertise across multiple time zones.
  • Excellent written and spoken English with executive-level polish.
  • Demonstrated experience managing CRM or contact-tracking tools.
  • Proven discretion and reliability handling confidential materials.
  • Highly organized, detail-oriented, and responsive under pressure.

Nice-to-Have (Preferred):

  • Experience supporting leaders in consulting, government, or enterprise sectors.
  • Proficiency in workflow and task management tools (ClickUp, HubSpot, Asana).
  • Process-oriented mindset with the ability to build scalable systems.
  • Familiarity with automation tools or AI productivity systems.
Tools Proficiency

Required:

  • Core Productivity: Microsoft 365 (Outlook, Excel, PowerPoint, Word)
  • Communication: Microsoft Teams, Zoom, Slack
  • CRM / Organization: HubSpot, ClickUp, or similar
  • AI Tools: Microsoft Copilot for workflow and document management

  • Documentation & Storage: SharePoint, Google Drive
