The Personal Injury Intake Specialist is responsible for managing the initial contact with potential clients who have suffered personal injuries due to accidents, negligence, or misconduct. This role involves gathering essential information, assessing the viability of cases, and assisting clients with the intake process in English and Spanish. The Intake Specialist will ensure that all necessary documentation is completed and properly submitted while providing a positive and empathetic experience for individuals during a difficult time.

Job Responsibilities
  • Handle incoming calls, emails, and online inquiries from potential clients.
  • Gather detailed case information and input it into the Client's case management system.
  • Perform initial case screenings based on the Client's criteria.
  • Schedule consultations with attorneys as needed.
  • Follow up with leads to ensure all necessary information is collected and address questions.
  • Maintain and update the Client's lead tracking system to reflect the current status of each inquiry.
  • Coordinate with attorneys and other staff to ensure smooth transitions from intake to case handling.
Scope of Work and Deliverables
  • Intake Support: Managing the initial point of contact for all potential new business.
  • Case Documentation: Accurate data entry and maintenance of case files.
  • Lead Management: Tracking and nurturing potential clients through the intake pipeline.
  • Paralegal Responsibilities: Supporting legal staff with preliminary case assessment and coordination.

Qualifications:

  • Proven experience as a Case Manager, Paralegal, or Legal Assistant.

  • Background in a Commercial Legal Department or a Personal Injury law firm is required.
  • Proficiency in using legal case management systems and lead tracking software.
  • Strong communication skills for professional client interaction and screening.
  • Exceptional organizational skills with a focus on detail and data accuracy.
  • Proficiency in Spanish and English communication.
  • Ability to handle sensitive situations with empathy, professionalism, and discretion.
  • Excellent organizational and multitasking skills, with the ability to manage multiple client cases simultaneously.
  • Comfortable with legal management software and MS Office (Word, Excel, Outlook). Experience with case management software is a plus.
  • Ability to assess and evaluate personal injury claims and make informed decisions on case viability.
  • Works well both independently and as part of a collaborative team environment.
