About the Client

The client is a rapidly growing pet treat manufacturer specializing in high-quality, chemical-free dog and cat treats. The business operates across e-commerce, wholesale, and retail channels and is currently scaling operations while transitioning into a new facility.

As the company grows, they are looking for a high-level operational partner who can help organize the "chaos" of a fast-moving environment and act as the connective tissue between leadership, operations, and production teams.

About the Role

This is not a typical entry-level virtual assistant role. This position functions as a hybrid Executive Assistant / Operations Coordinator, acting as the Founder's right hand.

The role will initially focus on organizing the Founder's workflow and communications, but it is designed to grow into a broader operations management position. You will bring structure to data, document processes, and ensure clear communication across teams—especially between leadership and the manufacturing floor.

Key Responsibilities

Executive Support & Inbox Management

• Manage and organize the Founder's email inbox and additional shared inboxes

• Flag urgent items, draft responses, and ensure no tasks fall through the cracks

• Coordinate meetings and manage the Founder's calendar to protect high-value time

• Identify hidden tasks within email threads and move them into Notion for tracking

Operations & Payroll Oversight

• Track weekly hours for manufacturing and shipping teams using Rippling

• Validate reported hours, follow up with team members, and assist with payroll preparation

• Build, document, and maintain SOPs and task lists inside Notion

Metrics & Reporting

• Consolidate weekly customer support tickets to identify trends, issues, and improvement areas

• Download and analyze data from multiple systems to create operational "win/loss" and focus reports

Team Coordination

• Act as the operational "glue" between the Founder, marketing team, and manufacturing floor

• Serve as a liaison with the Spanish-speaking factory team for inventory updates and operational coordination

Qualifications & Skills

Language

• Native or near-native English (written and verbal)

• Conversational or fluent Spanish is highly preferred

Technical & Operational Skills

• Strong proficiency in Notion or similar project management systems

• Experience with payroll or HRIS tools (Rippling strongly preferred)

• Comfortable creating and maintaining structured databases, files, and documentation

AI & Automation

• AI-first mindset with experience using AI tools to automate repetitive tasks and improve workflows

Experience

• Proven experience in an Executive Assistant, Operations Coordinator, or similar role

• Background supporting a U.S.-based e-commerce, manufacturing, or operations-heavy business
