Job Title: Project Management Administrator

Type: Full-time, Independent Contractor

Location: Remote (Latin America)

Work Hours: U.S. Pacific Time Zone

Summary

We are seeking a Project Management Administrator to provide administrative and operational support to project managers. This role ensures projects run smoothly by preparing quotes, managing purchase orders, updating trackers, and maintaining organized documentation for fast-moving field teams.

Key Responsibilities
  • Quoting & Documentation

    • Draft quotes and simple statements of work (SOWs) using templates and scope notes.

    • Collect compliance documents and certificates requested by clients.

    • Organize project folders by brand and job; maintain version control and naming standards.

  • Procurement & Tracking

    • Prepare and track purchase orders; follow up on deliveries and backorders.

    • Maintain project trackers: dates, dependencies, submittals, and change orders.

    • Support closeout processes by compiling manuals, serials, and photo documentation.

  • Coordination & Communication

    • Coordinate internal handoffs and closeout packages.

    • Send concise, professional status updates to stakeholders.

    • Ensure timely follow-ups with project managers, vendors, and clients.

Requirements
  • Strong English communication skills (Spanish bilingual a plus).

  • 1–3 years of experience in construction, service operations, PMO support, or coordination.

  • Comfortable preparing quotes and straightforward SOWs from scope notes.

  • Proficiency with spreadsheets, PDFs, and document control tools.

  • Highly organized, detail-oriented, and proactive in communication.
