The Finance & Administrative Manager will have primary responsibility for oversight of the general accounting function for the Company’s operations located in Colombia ensuring that agreed standards and procedures are being followed, and that efforts are closely coordinated with the requirements of the corporate office.
- This position reports to the General Country Manager in Colombia and will work very closely with the Chief Financial Officer based in Australia as well as with the Senior Accountant and other accounting staff in Colombia to be the primary corporate finance liaison with Headquarters.
- Currently there are Exploration activities in place, and it is expected to move to PFS, FS & EIA stage soon in one of the company’s projects in Colombia. It is expected to produce financial Statements in accordance with International Financial Reporting Standards and local data, linked to cost and comparative information.
- The Finance & Administrative Manager will also have responsibility for managing and assisting in other corporate-level initiatives as may be required.
Specific Responsibilities:
- Financial Reporting and Tax Accounting.
Working with the Chief Financial Officer, the position will be responsible for ensuring that the exploration activities maintain an effective and efficient financial close process and that this process is effectively integrated with the corporate consolidation and financial close process. That well-designed procedures are in place and adhered to in order to ensure that all transactions are captured and accounted for in the right period and at the right amount. This applies to the following processes:
- 1.Inventory Accounting.
- 2.Procurement and Order Management and Tracking.
- 3.Supplies and Spares Inventory accounting.
- 4.Fixed Assets Acquisition and Tracking/Accounting.
- 5.Payables Management and Reporting.
- 6.Taxation Rules, and Computation and Management of Tax Refunds, and the development of strategies to ensure the effective treatment of these.
Internal Controls
- Working with exploration staff, in particular the position will be responsible for the monitoring and oversight of the effectiveness of internal controls to ensure that the results and state of the exploration works are accurately recorded, and reported upon in accordance with accounting, governance and other relevant pronouncements, and will be required to provide guidance and assistance with remediation as necessary. Emphasis will be given to the following areas ensuring that controls are well documented and being followed as well as reported on a monthly basis:
- 1. Acquisition, Accounting and Maintenance of Fixed Assets.
- 2. Exploration Costs and the Reporting of these
- 4. Payroll processing and reporting by Department and Cost Centre.
- 5. Inventory Costs.
- 6. Inventory Statistics Generation, and Procurement Reporting.
- 7. Payables and Receivables and Tax Reporting.
Budgeting / Cash Flow Reporting
- Working with the other finance and explorations staff, the position will have primary responsibility for the development and administration of an Exploration budgeting and forecasting process and related procedures for all the companies of the group. This will involve documenting the state of the current process and assisting in rolling out training to staff, in the manner that Budgets are generated and how costs are accumulated.
- In addition, this position with the assistance of the Finance Department will be responsible for producing monthly Budget to Actual reports and obtaining reason for variances more than 10% from budgeted amounts. Every quarter Cash Flow Forecasts must be generated so that adequate planning around expenditure can be undertaken, most particularly Capital Expenditure.
- Experience with Capital Budgeting is very important and a critical part of the job in this mining finance role.
Management Reporting
- Working with the CFO, and in liaison with the various heads of department, determine operational information requirements and identify what reporting will meet such requirements, and assess whether this can be supported by the current system. Assist in the development of reports required to accomplish the objective of timely operational reporting and financial statement generation on a monthly, quarterly, and annual basis. The ability to travel to the exploration site on a frequent basis is an absolute requirement of this position and maintaining open and productive relationships with General Management. Understanding their requirements and working with them to resolve reporting and decision-making challenges as well assessment of Capital Projects and the Cost Benefit of various decisions and initiatives.
