Organization Overview: The Center for Reproductive Rights is a prominent global human rights organization dedicated to safeguarding reproductive rights as fundamental human rights across the globe. With a presence in multiple international locations, the Center is a non-profit, non-partisan entity committed to transforming laws and policies affecting reproductive rights through strategic litigation, legal advocacy, and policy reform. Our diverse team of over 230 professionals is passionate about advancing human rights and has achieved significant growth, managing an operating budget exceeding $50 million, alongside an additional $29 million in pro bono legal services from law firms worldwide.
Strategic Vision: The Center's Strategic Plan aims for a transformative impact: By 2030, we envision that half of the global population will benefit from enhanced protections for reproductive rights. Our history of success since 1992 has established us as a leader in redefining reproductive rights within legal frameworks, influencing courts, governments, and human rights organizations on critical issues such as maternal health, abortion, and adolescent sexual and reproductive health.
Role Overview:
The Executive Operations Assistant will provide essential administrative support to the Vice President for Latin America and the Caribbean, ensuring seamless operations. Responsibilities include managing schedules, preparing documentation, coordinating meetings, handling expense reports, and organizing travel arrangements. This role involves close collaboration with LAC Associates and support for Associate Directors, acting as a key liaison for the Vice President on various projects while implementing effective processes to enhance operational efficiency.
Key Responsibilities:
Scheduling:
- Manage the daily activities of the Vice President, ensuring high-quality administrative support, particularly in calendar management and travel logistics.
- Organize and prioritize the Vice President's calendar to align with strategic objectives.
- Coordinate travel arrangements, including logistics and detailed itineraries for both regional and global travel.
- Create and maintain scheduling templates and processes to streamline operations.
Meeting Coordination:
- Prepare the Vice President for all meetings by organizing briefing materials and coordinating with various departments.
- Act as a liaison among the Vice President, LAC team members, and other departments, ensuring effective communication and follow-up on action items.
- Document meeting notes and key decisions, ensuring timely communication with relevant stakeholders.
Communication Management:
- Oversee incoming communications for the Vice President, prioritizing responses and managing information flow.
- Facilitate engagement with appropriate staff to ensure effective information dissemination.
Additional Responsibilities:
- Assist visiting staff and coalition partners as needed.
- Support logistics for program-related events and meetings.
- Maintain and organize the Global LAC SharePoint site, ensuring timely updates.
- Perform office services tasks, including greeting guests and managing correspondence.
- Review and translate documents between Spanish and English as required.
- Act as the primary contact during team members' absences, managing urgent communications.
- Update and maintain databases and mailing lists using Microsoft Office tools.
Qualifications:
- Strong commitment to the Center's mission and values.
- Extensive experience supporting senior executives in dynamic environments.
- A minimum of 8 years of relevant experience, particularly in scheduling and travel management.
- Fluency in both Spanish and English; proficiency in additional languages is a plus.
- Exceptional organizational skills and attention to detail.
- Strong writing, editing, and communication abilities.
- Ability to handle sensitive information with discretion.
- Proactive, solutions-oriented mindset with strong analytical skills.
- Professional demeanor with excellent customer service skills.
- Capacity to work independently and manage multiple tasks under tight deadlines.
- Dependability, diplomacy, and a sense of humor are essential.
- Experience in diverse, multicultural environments.
- Strong computer skills, including proficiency in Excel, Word, Outlook, and PowerPoint.
