Role Overview: The Executive Assistant to the Vice President, Latin America and the Caribbean, will provide essential administrative support to ensure efficient operations. This includes managing schedules, preparing documentation, coordinating meetings, processing expense reports, and arranging travel. The role involves close collaboration with associates and other team members, acting as a liaison for the Vice President on various projects and initiatives.

Key Responsibilities:

Scheduling:

  • Oversee daily activities of the Vice President, ensuring high-quality administrative support in calendar management and travel logistics.
  • Maintain the Vice President's calendar to align with strategic priorities and operational goals.
  • Coordinate all travel arrangements, including planning calls, detailed itineraries, and logistics management.
  • Develop and maintain scheduling processes and templates.

Meeting Coordination:

  • Prepare the Vice President for meetings by organizing briefing materials and coordinating with various departments.
  • Act as a liaison between the Vice President and other team members, facilitating communication and follow-up on action items.
  • Document meeting notes and ensure effective communication of key decisions.

Communication Management:

  • Manage incoming correspondence for the Vice President, prioritizing and drafting responses as necessary.
  • Ensure effective information flow within the team and with external partners.

Representation:

  • Anticipate program needs and proactively strategize solutions.
  • Represent the LAC team in various institutional and external engagements.

Additional Responsibilities:

  • Assist visiting staff and coalition partners as needed.
  • Support logistics for program-related events and meetings.
  • Maintain the Global LAC SharePoint site with timely updates.
  • Provide office services, including guest reception and correspondence management.
  • Review and translate documents between Spanish and English.
  • Act as the primary contact during team members' absences.
  • Update and manage databases and mailing lists using Microsoft Office tools.

Qualifications:

  • Strong commitment to the Center's mission and values.
  • Minimum of 8 years of relevant experience in executive support, particularly in scheduling and travel management.
  • Fluency in Spanish and English; proficiency in additional languages is a plus.
  • Exceptional organizational skills and attention to detail.
  • Strong writing, editing, and communication abilities.
  • Ability to handle sensitive information with confidentiality.
  • Proactive, independent, and capable of multitasking under pressure.
  • Familiarity with Microsoft Office Suite and adaptability to new technologies.
