- Role Title
- Associate Director of Operations, Latin America- Grade Level- Level F, Grade 12- Reporting To- Senior Director, Global Operations- Program/Tool/ Department/Unit Name- Global Operations- Team Name- Global Operations- Role Purpose- This role will carry out operations functions locally, drive cohesion across geographically located internal and external staff, and create ownership of operations issues across geographies. This role will develop, implement, and monitor local day-to-day operations, processes and practices to provide visibility into the goals, progress, and obstacles of key initiatives across the organization. The global operations team will also contribute to cultural transformation initiatives across the various geographies in which OSF does its work.- Key Responsibilities
- Reports to the Senior Director, Global Operations, the Associate Director of Operations’, LAC key responsibilities are as follows:
- Responsible for coordinating local requirements with Global Operations, serving as a focal point and liaison for all Operational activity e.g., events management and support, travel, logístical onboarding of staff, managing localized HR queries, budget management, cross-functional collaboration, office management, etc.-
- Responsible for understanding local requirements across geographies, including financial requirements, and managing location specific operational questions, issues, and requirements-
- Ensure that all local operations comply with relevant local and international regulations, and stay updated on any changes in compliance requirements that may impact the organization-
- Responsible for serving as the signatory and fiduciary authority and decision maker for the local entity, and accountable for local office decisions, contracts, and financial reporting-
- Responsible for supporting implementation and compliance of Global Operations policies and procedures-
- Responsible for defining and tracking key performance indicators (KPIs) for the operations within their geography-
- May be responsible for implementing and monitoring sustainability initiatives within their geography-
- Accountable for ensuring that our offices provide a positive user experience for staff and visitors, and implementing all health, safety and security regulations set through global standards-
- Responsible for managing and maintain local contracts and vendor relationships where needed and develop reporting oversight-
- Accountable for building relationships between Global Operations and geographies, providing input with regards to local nuances, context and regulations to be considered, to enable effective day-to-day operations-
- Responsible for supporting Globally Shared Operations with delivery of agreed function-specific responsibilities, where relevant and appropriate including:- Responsible for coordinating budgets at the local level for an office/geography and communicate funding needs to Global Finance-
- Responsible and accountable for reviewing and providing financial statements / reports at the local level for an office/geography e.g. rent-
- Responsible for preparing office budgets and reviewing spend against approved budgets-
- Serve as the focal point for credit card management / issuing credit cards in relevant geographies as part of the local onboarding process-
- Responsible for tracking local credit card transactions, incorporating them in financial statements and ensuring they are funded using the correct funding entities-
- Responsible for coordinating and work with auditors and provide materials to be reviewed as required-
- Provide input and flag where relevant for fraud investigations-
- Liaise, address and manage queries from the Global Finance Team with regards to tax reporting information-
- Responsible for identification of local vendors for meetings and events support and provide local suppliers list to Admin Officers for meetings and events support e.g., local restaurants, event spaces-
- Coordinating local logístical onboard / offboard processes-
- Responsible for preparing local onboarding material and presentation-
- Serve as local operations focal point for offboarding e.g., equipment handover (only logístical offboarding)-
- Responsible for embodying and implementing culture transformation set by the Global People & Culture team-
- Responsible for creating a sense of community and cohesion within a specific geography including embedding DEI policies-
- Responsible for providing input to operational security planning requirements to global function-
- Responsible for collaborating with Global Safety and Security Director and/or team identify where relevant, safety and security requirements that are applicable to their business operations. Once identified, these requirements must be integrated to their operating procedures-
