Working Hours: 9:00 a.m. - 5 p.m. PST, Monday to Friday

Holidays: US Holidays
Salary: 1200 - 1500 USD

Responsibilities:

  • Email and Calendar Management: Efficiently manage the executives' email correspondence and calendars to ensure optimal scheduling and prioritization of tasks.
  • Task Management: Assist the executives in staying on track by keeping them informed of their to-do lists, conducting basic research, overseeing their daily workload, and ensuring efficiency in task completion.
  • Travel Coordination: Handle end-to-end travel arrangements for the team, including booking flights, hotels, ground transportation, and dining reservations.
  • Event Coordination: Organize and coordinate various events, meetings, and conferences attended by the executive team.
  • Monitoring and Managing Inbox: Proactively monitor and manage executives' inboxes, responding to emails in real-time or flagging urgent messages for their attention.
  • Professional and Personal Administrative Tasks: Handle all professional and personal administrative tasks and appointments for the executives, ensuring their schedules are optimized and all tasks are completed efficiently.
  • Recording Meeting Minutes: Attend meetings and accurately record minutes, action items, and decisions for reference and follow-up.
  • Miscellaneous Special Projects: Assist with various special projects or duties as needed, demonstrating flexibility and adaptability to changing priorities.
  • Preparing and Reviewing Documents: Prepare and review documents, ensuring accuracy, clarity, and adherence to company standards.
  • Handling Confidential Information: Safeguard and handle confidential information with the utmost discretion and professionalism.
  • Producing Reports, Presentations, and Spreadsheets: Create and format reports, presentations, and spreadsheets as required by the executive team, maintaining high standards of quality and accuracy.
  • Organizing and Analyzing Data: Organize and analyze data to support decision-making processes, providing insights and recommendations as needed.
  • Office Management Tasks: Handle various office management tasks such as ordering supplies, coordinating maintenance services, and ensuring a well-organized and functional workspace.
  • Basic Project Management: Support the executive team in basic project management tasks, including coordinating timelines, tracking progress, and communicating updates.

Requirements

  • Minimum of 2-3 years of experience as an Executive Assistant.
  • Previous experience in client service, particularly with high net-worth individuals, is preferred.
  • Proficiency in G Suite, Microsoft Office, and Slack.
  • Proficient in English (B2 level), with exceptional written and verbal communication skills
  • Strong attention to detail and accuracy in work.
  • Exceptional organizational skills, with the ability to multitask and prioritize effectively.
  • Proven ability to meet deadlines and work well under pressure.
  • Ability to work autonomously with minimal supervision, demonstrating initiative and resourcefulness.
