As a
Documentation Coordinator
, you will play a crucial role in ensuring the smooth processing of documentation and voyage accounting duties in accordance with Stolt Tank Containers' quality procedures. You will be tasked with coordinating the timely and accurate processing, issuing, and distribution of shipping documentation for outbound shipments. The role encompasses maintaining regular contact with service suppliers to ensure the quality of work meets expected standards and promptly reporting any performance issues. You will also be responsible for updating the AS400 system with shipment-specific details, billing additional charges related to documentation, and actively participating in quality improvement projects and audits. Your contributions will extend to identifying areas for efficiency improvements and suggesting enhancements to business systems.
Stolt Tank Containers (STC) is a leading provider of door-to-door transportation services for bulk-liquid chemicals and food-grade products. With a fleet of more than 45,000 tank containers and a worldwide network of 22 owned and joint venture depots.
What You Will Be Doing
As a Documentation Coordinator, you will be immersed in a dynamic and detail-oriented environment where your primary duties include coordinating the processing and distribution of shipping documentation for outbound shipments. You'll ensure the timely receipt and issuance of bills of lading, maintaining regular communications with service suppliers to oversee work quality, handle voyage accounting activities, and address any anomalies.
Key Responsibilities
- Coordinate the timely, accurate processing of documentation and voyage accounting duties, in accordance with STC quality procedures; issuance and receipt of underlying carrier bills of lading, and distribution of shipping documentation for outbound shipments.
- Maintain regular contacts with service suppliers and review the quality of work carried out on behalf of STC, and to report unacceptable quality or performance to the Supervisor, Documentation.
- Report to Supervisor any unacceptable performance by any STC supplier resulting in delayed documents, information flow or perceived lack of customer service.
- Actively participate in Quality Improvement projects and contribute suggestions for business process improvement.
- Communicate ideas for business systems improvements as they relate to STC's systems development.
Qualifications
- Must have a Bachelor's Degree.
- Excellent communication skills in both English and Spanish.
- Preferred 1-year experience in the shipping industry; Documentation and Ocean Cargo experience preferred.
- Experience in an international company environment would be an asset.
- Familiar with MS Word and Excel.
