Position:  Operations Coordinator / Executive Assistant

Working Hours: Full-Time│Mon-Friday 9:00 am - 5:00 pm EST

Salary: Latin America | South Africa: $2,500 to $4,000 (depending on exp and client's final offer) 

About the Role

We are seeking an Operations Manager to act as the operational backbone across the portfolio.

This role is responsible for turning intent into execution. You will own operational clarity, ensure processes are documented and followed, identify friction points, and drive continuous improvement across teams and companies. You will work closely with leadership, managers, and frontline staff to ensure nothing critical falls through the cracks.

This is not a passive or advisory role. The Operations Manager is expected to own outcomes, surface issues early, and bring order to complex, multi-entity workflows.

The ideal candidate is highly organized, calm under pressure, comfortable enforcing standards, and confident communicating across technical, administrative, and leadership teams.

Core Responsibilities

Operational Oversight & Execution

Oversee day-to-day operational health across the company's portfolio companiesEnsure critical workflows are executed consistently and on timeIdentify operational bottlenecks, breakdowns, and risks before they escalateTranslate leadership direction into actionable plans and follow-through

Process, SOPs & Documentation

Own the creation, maintenance, and enforcement of Standard Operating Procedures (SOPs)Ensure SOPs reflect real-world execution, not theoryAudit adherence to documented processes and address gapsDrive continuous improvement through regular process reviews

Cross-Team Coordination

Serve as the coordination point between leadership, operations, customer experience, technical, and administrative teamsEnsure clear handoffs between roles and departmentsFacilitate internal communication so priorities, deadlines, and expectations are understoodReduce ambiguity by clarifying ownership and next steps

     Performance & Accountability

Track operational KPIs and team-level metricsHold teams accountable to timelines, quality standards, and commitmentsIdentify performance issues and recommend corrective actionsSupport managers and team leads with structure, reporting, and follow-up

Tools, Systems & Workflow Management

Oversee the effective use of internal tools (task management, documentation, communication platforms)Ensure workflows are documented, repeatable, and scalableIdentify opportunities to automate or streamline manual processesPartner with leadership on tooling decisions and system improvements

Leadership Support & Special Projects

Act as a trusted operational partner to the Founder and leadership teamManage cross-company initiatives and special projectsPrepare operational summaries, status updates, and risk assessmentsStep in to stabilize operations during periods of transition or growth

Required Qualifications

3–6 years of experience in operations, business management, or process leadership rolesProven ability to manage complex workflows across multiple teams or business unitsStrong experience building, documenting, and enforcing SOPsExcellent written and verbal communication skillsHigh attention to detail with the ability to see both the big picture and the detailsComfortable holding people accountable in a professional, respectful mannerStrong organizational and time-management skillsReliable remote work setup with consistent availabilityFamiliarity with tools such as Microsoft 365, Teams, SharePoint, task/project management systems, and documentation platforms

Preferred (Nice to Have)

Experience working in a holding company or multi-entity environmentExposure to MSP, IT services, cybersecurity, healthcare/wellness, or property management operationsExperience supporting leadership during scaling or organizational change
