Logistics Analyst – Import Documentation Specialist (Mexico)

At UPL, we are looking for a Logistics Analyst – Import Documentation Specialist to play a key role in managing import operations for Mexico, working from Bogotá and ensuring every shipment is processed accurately, on time, and in full compliance with local and international regulations.

Your purpose in this role

You will be responsible for ensuring the accurate and compliant execution of import documentation and logistics processes for Mexico, acting as a critical control point to prevent errors, delays, or regulatory non-compliance that could impact business continuity.

Your work will directly contribute to:

  • Compliance with Mexican import regulations and trade legislation.
  • Risk mitigation related to customs, documentation, and financial exposure.
  • Seamless coordination between suppliers, customs brokers, logistics providers, and internal teams.
  • Protecting the integrity of UPL's supply chain and financial operations.

What you will do

Before shipment arrival

  • Receive and register import purchase orders in SAP.
  • Track orders and delivery dates in coordination with Planning and OTC teams.
  • Validate labels, artwork, and import documentation (commercial invoice, BL, packing list, certificates, permits, and licenses).
  • Coordinate inland transportation from port to DCs or plants.
  • Share complete and accurate documentation with customs brokers and freight forwarders.
  • Follow up on BL revalidation and final document issuance.
  • Coordinate sample imports and special operations (machinery, equipment, etc.).

After shipment arrival

  • Ensure full and timely delivery of documentation to DCs and plants.
  • Track final delivery and obtain proof of delivery.
  • Prepare import documentation with zero errors, in compliance with local regulations and internal policies.
  • Dispatch original and copy documents within agreed timelines.
  • Update import information in SAP (dates, shipments, delays, root causes).
  • Coordinate with customs brokers, internal transport, DCs, and plants for efficient unloading.
  • Manage up to 100 import files per month, including LCL shipments and advance payments.

Compliance and control

  • Correctly apply Incoterms, payment terms, UCP rules, and foreign trade regulations.
  • Perform tariff classifications (HTS) and prepare manual documentation when required.
  • Coordinate document legalization with consulates and chambers of commerce.
  • Demonstrate knowledge of Mexican import processes and trade legislation (desirable).
  • Record costs, accruals, and cost–benefit analyses with high accuracy.
  • Manage PR, PO, and MIGO transactions in SAP (mandatory) for supplier payments and advances.
  • Prepare cash flow reports and advance payment tracking.
  • Maintain updated import databases and shipment tracking.
  • Participate in calls with overseas suppliers and customs brokers.
  • Support continuous improvement initiatives and process optimization projects.

What we are looking for

Experience and education

  • 5 to 8 years of experience in logistics, international trade, or supply chain within global organizations.
  • Strong knowledge of import operations, foreign trade, and Mexican customs regulations.
  • Hands-on experience with ERP systems (SAP S/4HANA highly desirable).
  • Bachelor's degree in International Trade, Logistics, Supply Chain, or related fields.
  • MBA or postgraduate degree in Supply Chain, International Operations, or International Trade (desirable).
  • Previous experience in manufacturing companies (preferred).

Position details

  • Work modality: On-site.
  • Location: Calle 127 with Autopista Norte, Bogotá, Colombia.
  • Schedule: Monday to Friday, 42 hours per week.
  • Availability for occasional meetings outside regular working hours.
  • Role scope: Import operations for Mexico.
