**Key Responsibilities**:
- **Administrative Support**: Provide day-to-day administrative assistance to the management team, including managing calendars, scheduling meetings, and organizing travel arrangements.
- **Document Preparation**: Prepare and edit documents, reports, presentations, and correspondence as needed.
- **Meeting Coordination**: Schedule, coordinate, and prepare meeting agendas. Take detailed meeting minutes and distribute them to relevant stakeholders.
- **Task Management**: Assist in tracking and managing tasks for the management team to ensure deadlines are met.
- **Data Entry**: Maintain accurate records and data entry into various systems and databases, ensuring data integrity and confidentiality.
- **Professionalism**: Serve as a liaison between the management team and internal/external stakeholders, maintaining a high level of professionalism and discretion.
- **Ad Hoc Tasks**: Provide additional support on various projects and tasks as needed by the management team, including research, event planning, and other duties as assigned.
Requirements & Qualifications:
- **Experience**: Proven experience as an Executive Assistant for at least 2 years, preferably supporting senior management or executives.
- **Experience**: Previous experience in a fast-paced work environment.
- Skills: Strong organizational and multitasking skills with high attention to detail.
- **Quick Thinker**: Ability to think on your feet and solve problems efficiently.
- **Communication**: Excellent written and verbal communication skills, with the ability to interact professionally with all levels of staff and clients.
- **Proficiency**: Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
- **Professionalism**: Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
- **Time Management**: Strong time management skills with the ability to prioritize tasks and manage competing priorities effectively.
- **Work Schedule**: Amenable to work Monday through Friday 8 AM - 5 PM Pacific Standard Time (PST)
- Two professional references and a valid criminal background check issued within the last 60 days are required for all successful applicants.
- Completion of intake paperwork, including submission of a valid tax identification number (e.g., Social Security Number, Social Insurance Number, or the country’s equivalent), is required prior to onboarding.

Full Time (40 hours per week)
Monday through Friday 8 AM - 5 PM Pacific Time
