This role requires exceptional organizational skills, strong communication abilities, and the capacity to manage multiple priorities in a fast‑paced environment. Acting as a strategic partner, the Executive Assistant ensures the executive’s time, activities, and communications are aligned with business goals. Key Responsibilities Represent Paul Davis’s Values, Vision, Mission, and Serving Basics professionally. Manage executive calendar with strong prioritization and proactive planning; schedule meetings and coordinate daily workflows. Handle travel arrangements, itineraries, and accommodations. Prepare meeting agendas, briefing documents, presentations, and follow‑up actions. Screen and prioritize incoming emails, calls, and requests. Serve as the primary liaison between the Owner and internal teams, clients, vendors, and strategic partners. Draft, edit, and manage email communications, letters, and internal updates on behalf of the Owner. Handle confidential information with the highest level of discretion. Conduct research, gather data, and prepare summaries to support strategic decisions. Manage social media presence and assist with personal assistant tasks as needed. Follow up with clients and maintain relationships with VIP clients. Other duties as assigned. Qualifications & Skills 2–3 years of experience as an Executive Assistant or in a similar administrative role. Technical Skills Proficiency in Microsoft Office Suite and other productivity tools. Experience with any CRM software – experience with Luxor CRM is a plus. Soft Skills Highly organized with exceptional attention to detail. Excellent verbal and written communication skills. Ability to prioritize and manage multiple tasks effectively. We may use artificial intelligence (AI) tools to support parts of the hiring process, such as reviewing applications, analyzing resumes, or assessing responses.
