About the Role We’re seeking an Entry-Level Payroll Specialist who is eager to learn, detail-oriented, and motivated to build a career in payroll within a fast-paced SaaS company. This position is ideal for someone with foundational knowledge of U.S. payroll and a passion for customer service, data accuracy, and process improvement. As a key member of our payroll operations team, you’ll help ensure timely and accurate payroll experience across multiple systems and workflows while learning the nuances of multi-state U.S. payroll, SaaS service delivery, and operational compliance. Key Responsibilities Client-Facing & Support - Serve as the first point of contact for payroll-related inquiries, offering timely responses and triaging to appropriate teams when needed. - Make outbound calls or follow-ups with clients and team members to clarify payroll data and ensure timely resolution of outstanding items. - Provide professional, courteous support that aligns with our company’s service standards. Payroll Processing & Back Office - Enter and maintain accurate payroll and employee data in the CRM and payroll systems. - Verify employee attendance and hours worked and ensure the correct calculation of wages, overtime, bonuses, and leave balances. - Confirm appropriate deductions and tax withholdings based on federal, state, and local requirements. - Prepare and distribute earnings reports and payroll summaries. - Investigate and resolve payroll discrepancies quickly and accurately. - Prepare payroll-related reports for internal teams and audits as needed. - Maintain confidentiality and ensure compliance with labor laws and company policies. Operational Agility - Navigate and manage multiple systems, tools, and workflows simultaneously. - Assist with continuous process improvement by providing feedback and supporting the implementation of new tools or procedures. - Stay organized and maintain task tracking to ensure no missed deadlines, even when managing multiple assignments. What You Bring - 1-2 years of exposure to U.S. payroll operations, systems, or procedures (including internships or part-time work). - Familiarity with payroll software (e.g., QuickBooks, ADP, Paychex) and CRMs is preferred. - Strong data entry and organizational skills with high attention to detail. - Clear and professional verbal and written communication in advanced English. - Comfort handling both incoming and outgoing client calls professionally. - Ability to multitask in a fast-moving, team-oriented environment. - Experience working in or supporting a remote, SaaS, or tech-enabled service company is a plus. - Prior experience in customer service, admin support, or operations is beneficial.
