We are seeking an Assistant Admin to join our dynamic team As an Assistant Admin at Plum, you will play an essential role in supporting our sales team and ensuring accurate and efficient data management, order processing and exceptional customer service. This role requires meticulous attention to detail, excellent organizational skills, a go-getter mentality, and a proactive approach to problem-solving.
**What You'll be doing...**
- Assisting our sales team in managing accounts and maintaining client relationships
- Communicating customer feedback to internal teams for continuous improvement
- Utilizing Salesforce or similar CRM tools to track sales activities and customer interactions
- Assisting with final reviews of print mail pieces before orders are finalized and printed for shipment - attention to detail is extremely important
- Preparing & processing orders, including interacting with internal teams & software to ensure accurate & timely execution and delivery of client campaigns. This includes handling order processing & set up for third party campaign components such as purchased telephone numbers, custom demographic data lists, and landing pages
- Preparing & maintaining accurate client data & spreadsheets, including submitting lead reservations into reservation system, updating clients mail lists and maintaining up-to-date data for future orders
- Overseeing timely preparation and submission of detailed reports
- Supporting projects by researching and consolidating information from various data sources/systems, developing spreadsheets, tracking databases, and presentations, ensuring accurate information
- Performing routine audits of databases and files; Maintaining database records by ensuring information is up to date and accurate
- Proactively seeking opportunities to enhance sales operational procedures and improve customer service abilities
- Performing other administrative duties as needed, demonstrating flexibility and a willingness to take on new challenges
**Qualifications**:
- English Proficiency: B2 - C2 (native or bilingual)
- Excellent written and verbal communication skills, including grammar & proofreading
- High attention to detail: You have a keen eye for the details that others often miss
- Solid time management and organizational skills
- Strong interpersonal skills with the ability to build rapport, receive constructive feedback, and communicate effectively with others.
- Proficiency in managing multiple tasks simultaneously in a fast-paced environment, with a proven record of meeting deadlines effectively
- Highly motivated and driven to support the team in achieving their sales targets.
- Tech savvy and quick at picking up new systems
- Strong customer service skills, with a commitment to delivering exceptional service (Outgoing, comfortable speaking with clients if and when needed)
**Experience**:
- Minimum 2 years of relevant administrative experience within a professional setting
- Proficiency in Excel, with experience managing databases and producing reports (You’re an Excel wizard).
- Must be proficient in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Solid database and data analyst skills
- Experience with Salesforce preferred
- Familiarity with payment processing & invoicing software such as Xero and Stripe
- Prior experience in sales or account management is a plus
