Remote Property Operations

This is NOT a basic VA role. This is for a top-tier operations specialist who takes full ownership of property management tasks, optimizes workflows, and ensures smooth execution. **Who We Are**: Vive Equity is a fast-growing real estate investment and property management firm focused on affordable housing across the Southeastern U.S. We manage nearly 30 properties and are expanding rapidly. This role is critical to helping our team clean up inherited operational messes, structure data properly, and streamline our property management systems. **What We Need**: We’re hiring a Remote Property Operations & AppFolio Specialist to support our property manager and keep everything running efficiently. **This role requires**: - 1+ years of verifiable AppFolio experience (MUST have worked inside the system before—no training on AppFolio itself will be provided). - Property management experience—this isn’t just an admin job. You need to understand lease renewals, ledgers, reporting, and document handling. - Proactive problem-solving—we need someone who doesn’t just wait for instructions but takes ownership and makes things happen. - Detail-oriented execution—mistakes in our system cost time and money. We need accuracy and efficiency. **Key Responsibilities**: **AppFolio Management & Tenant Operations**: - Maintain accurate property records and track lease renewals, recertifications, and ledgers. - Fix, organize, and clean up old property data from an inherited mismanaged portfolio. - Upload, track, and process resident documents within AppFolio. - Handle Section 8 / LIHTC (Low Income Housing Tax Credit) rent increase forms and housing portal submissions. **Operations & Administrative Support**: - Structure efficient workflows to handle lease renewals, documentation, and ledgers. - Identify bottlenecks and inefficiencies and recommend better processes. - Retrieve monthly utility bills and expense data and ensure proper tracking. **Reporting & Data Management**: - Prepare weekly/monthly reports on occupancy rates, delinquencies, and property performance. - Ensure all data is accurate, properly archived, and accessible when needed. - Your work will directly impact our bottom line—this is NOT just a task-based role. **Communication & Problem-Solving**: - Assist our overloaded property manager by taking ownership of key operational tasks. - Work independently but communicate effectively when needed. - Ensure data, ledgers, and tenant records are clean, structured, and easily accessible. **Who Should Apply?** **Mandatory Requirements**: - 1+ years of AppFolio experience (must already be comfortable using it). - Property management or real estate operations experience. - Fluent written and verbal English communication. - Proactive problem solver who doesn’t wait for instructions. - Strong attention to detail—mistakes are NOT an option in this role. - Reliable internet and professional remote setup. - Ability to work U.S. Eastern Time Zone hours (Monday-Friday). **Preferred (Bonus Points If You Have )**: - Experience optimizing workflows and processes within property management. - Background in Section 8 / LIHTC housing and ledgers. **Compensation & Growth**: - Competitive pay based on experience (This is a premium role, not a low-level VA job). - Full-time position (Monday-Friday, EST hours). - Long-term role with opportunities for bonuses, raises, and leadership growth. **How to Apply**: In the “Anything else you’d like to tell us?” section, type**:"Equity." followed by your favorite property management tool.** This is an attention to detail test so do not include anything else in that field.
