Accounts Receivable and Payable Specialist

Shift Schedule: Monday to Friday 7:00 am - 5:00 pm CST

**Responsibilities**:

- **Executives Daily Task List Tracking**: Monitor and manage daily task lists for executives, ensuring all tasks are completed in a timely manner.
- **Billing Assistance**: Assist with billing processes, including preparing invoices and tracking payments.
- **Bill Collections**: Manage collections for outstanding bills and follow up with clients as necessary.
- **Vendor Purchase Billing**: Oversee and manage vendor purchase billing processes.
- **Vendor Sales Tax Update**: Update and track sales tax information related to vendor transactions.
- **Building COI Tracking**: Maintain and track Certificates of Insurance (COI) for the building and vendors.
- **Accounts Receivable**: Manage accounts receivable functions, including processing payments and invoices.
- **ADP/Payroll Management**: Handle payroll processing and related tasks through ADP.
- **Organize Taxes - Outside Accountant**: Coordinate with an outside accountant to organize and prepare tax documents.
- **Setup Interviews and Track Resumes**: Schedule interviews, track resumes, and manage the recruitment process.

**Qualifications**:

- Proven experience in administrative and financial roles.
- Strong organizational and time-management skills.
- Proficiency in office software and financial management tools.
- Excellent communication skills.
- Ability to handle multiple tasks and prioritize effectively.
- Knowledge of ADP or other payroll systems is a plus.
- English proficiency is essential.
- Ability to interact with customers seamlessly, ensuring they are unaware the role is outsourced.
- Familiarity with invoices and financial statements is required.
- Experience with Google Sheets, Zoho, and similar tools is preferred.
- Financial or accounting background is preferred.
- Strong financial literacy and multitasking abilities.
- Excellent conversational skills.
