Job Title: Claims & Compliance Coordinator Department: Risk, Claims & Compliance Reports to: Senior Manager of Claims & Compliance (U.S.-based) Location: Barranquilla, Colombia Work Schedule: Full-time; In-Office Position Summary The Claims & Compliance Coordinator is an in‑office support role based in our Barranquilla office and plays a vital part in the daily operations of a leading logistics company's Risk, Claims & Compliance team. The position is primarily focused on supporting cargo claim processing—helping intake, organize, and move claims forward with accuracy and speed. Additionally, the role includes supporting carrier vetting, insurance verification, and compliance documentation audits during low‑volume periods or as needed by the compliance team. This is a developing role that will evolve over time. The ideal candidate is flexible, coachable, and eager to learn. As many of the team’s systems and processes are being built or refined, this is an opportunity to be part of shaping how claims and compliance operations function at the company. Key Responsibilities Claims Support (Primary) Receive new claim notices and open claim files in the internal system or shared trackers. Request and gather required documents from internal stakeholders (Carrier Sales Reps, Account Managers, etc.). Signed BOLs / PODs Photos of damage or theft Customer invoices Police or incident reports Maintain accurate and organized claim files and ensure routine follow‑up is documented. Assist in preparing notices to carriers and their insurers (subject to manager review). Track response deadlines and follow regulatory timelines (e.g., 49 CFR Part 370). Communicate professionally with carriers, customers, and insurance contacts in writing (email/chat). Compliance & Carrier Vetting Support (Secondary) Support carrier vetting by reviewing documents (COIs, operating authority, safety scores). Assist with insurance verification, particularly for high‑risk or high‑value freight. Help reclassify carriers into risk tiers based on compliance performance. Reach out to carriers (by email/chat) to request updated documents or discuss improvement opportunities. Collaborate with the Carrier Risk Specialist to resolve escalations or exceptions. Process Support & Improvement (As Needed) Flag repetitive issues, delays, or gaps in process to support workflow improvement. Participate in regular check‑ins with U.S.-based team members for alignment and feedback. Qualifications Based in Barranquilla, Colombia, and able to work full‑time, in‑office hours aligned with U.S. operations. Minimum 1 year of experience in logistics, claims, or transportation compliance. Strong written communication skills in English (C1+ level or equivalent required). High attention to detail and ability to follow procedures and escape exceptions. Coachable and open to feedback, with a willingness to learn and adapt to the company’s methods. Comfortable navigating shared folders, trackers, and multiple software platforms. Tools & Systems Used Highway, Carrier411, SAFER, RMIS Microsoft Excel / Google Sheets Front / Email / Microsoft Teams Microsoft OneNote SharePoint OneDrive Transportation Management System (TMS) Training will be provided for all systems. Reporting & Collaboration Reports directly to the Senior Manager of Claims & Compliance (U.S.-based). Collaborates daily with: Carrier Sales Representatives (U.S.) Account Managers (U.S.) Carrier Risk Specialist (Colombia-based or U.S.) External carriers and their insurers (via email/chat) Performance Expectations Claims files updated and properly maintained within 24–48 hours of intake. Timely follow‑up documented every 7‑14 business days until resolution. Carrier documents reviewed and verified within compliance guidelines. Effective communication and task execution with minimal supervision. Willingness to adapt as processes are built and evolve. Growth & Development This role may evolve depending on performance and business needs. Opportunities for deeper exposure to U.S. logistics compliance, fraud prevention, and insurance processes.
