Key Responsibilities:

  • Administrative Support:
    • Oversee the CEO's calendar and correspondence, including scheduling meetings, conference calls, and personal commitments.
    • Organize comprehensive travel arrangements, itineraries, and agendas, and prepare documents for travel-related meetings.
    • Filter incoming communications, prioritizing action items effectively.
    • Draft and refine correspondence, reports, and presentations on behalf of the CEO.
  • Chief of Staff Functions:
    • Serve as the main liaison between the CEO and both internal and external stakeholders.
    • Develop meeting agendas and document minutes, ensuring follow-up on key decisions and action items.
    • Assist in project preparation and management, acting as a project manager when necessary.
    • Conduct research and support data analysis for informed strategic decisions.
    • Manage expense reports and liaise with accounting and finance teams.
    • Facilitate communication between the CEO and the executive team, ensuring prompt resolution of inquiries.
  • Public Relations and Engagements:
    • Coordinate podcast appearances, interviews, speaking engagements, and other public events for the CEO.
    • Assist in preparing talking points, presentations, and materials for these engagements.
    • Ensure consistent branding and messaging for the CEO across all platforms and events.
  • Personal Assistance:
    • Support with personal tasks and errands as needed.
    • Handle confidential information with utmost discretion.

This role is dynamic and requires adaptability.

Qualifications:

  • At least 5 years of experience in an executive support capacity; experience with C-level executives is advantageous.
  • Proficient in spreadsheets and numerical data; Quickbooks experience is a plus.
  • Ability to work autonomously as well as collaboratively.
  • Capable of following directions, prioritizing tasks, and completing assignments efficiently.
  • Excellent communication skills and emotional intelligence.
  • Ability to manage sensitive and confidential information discreetly.
  • Exceptional organizational skills and attention to detail.
  • A proactive and ambitious mindset.
