Role Purpose


The primary objective of this role is to provide support in the planning and tracking of exams capacity requirements, aligning them with the demand over a rolling 12-month period, starting 18 months in advance and leading up to the handover to Operations Managers for Resource Management and Test Day delivery.


In this role, you will be responsible for translating the demand into capacity and resource requirements for venues, personnel, and test materials.

The goal is to optimize operations and margins while upholding service levels, maximizing flexibility, and ensuring contingency plans are in place.


Additionally, you will monitor and review changes to the plan, reporting on capacity requirements, the effectiveness of planning, and the cost to serve.

Collaboration with counterparts in relevant countries will be essential to ensure a clear understanding of requirements and successful execution of the plan on Test Day.


Main accountabilities but not limited to the following

  • Executes capacity management plans. Supports Operations Planning Manager to collaborate with Commercial function for demand planning purposes
  • Executes and provides feedback on rolling 18 month plan and makes appropriate changes to plans for all products down to Test Day. Keeps Operations teams up to date on any changes.
  • Translates demand into capacity plan for venues, venue staff, papers, link to OSM (Onscreen Marking Hub).
  • Books venue for Test Day. Coordinates with Operations Resource Pool team to ensure resource profile and plan for core staff is in line with test venue requirements.
  • Provides guidance to secure venues, and gives feedback to Operations team in country on venue performance
  • Hands over Plan to Country Operations teams in advance (per agreed timeframe).
  • Handles SRS and ORS registration.
  • Contingency planning and risk management of supply.
  • Adheres to set standards and performance manage Exam security and compliance.
  • Proactively escalate issues to Operations Planning Manager, as required.
  • Takes endtoend accountability for researching and obtaining satisfactory and timely resolution of complex/escalated customer (internal or external) operational complaints and issues, coordinating input from other colleagues/departments/managers as required, to do so, in relation to venue and demand management. Ensures the customer is kept informed throughout the process.
  • Provides support to Operations Planning Manager on planning future changes to delivery profiles
  • As required, supports Operations Planning Manager in hosting/attending external events or meetings, ensuring these run efficiently and effectively and that a positive, professional image is projected.
  • Supports creating regular reports on range of standard, corporate financial processes and procedures to enable effective budget and resource management for the team, unit or project(s) e.g. purchase order system, FABS, SAP, procurement processes.
  • Raises POs for venues. Liaises with CMR and Logistics Manager/Operations Manager on equipment required at venues, as required.
  • Handle raising sales invoices for Exam Boards pre/post test.
  • Plans and prioritises own work activities, which span across a range of different work streams, responding to changing and at times competing requirements to ensure effective delivery of responsibilities over a weekly/monthly time horizon.
  • Tasks and coordinates others (e.g. internal colleagues or external contractors/suppliers) to complete timelimited, straightforward activities, within established procedures, in order to ensure efficient delivery of services. Monitors task completion to agreed quality and time standards.
